As student organization leaders and advisors, ASUA wants to keep you informed on University procedures as it relates to COVID-19 (Coronavirus) and its impacts on student clubs. ASUA highly recommends you refer to the University of Arizona’s Coronavirus site at https://www.arizona.edu/coronavirus-covid-19-information for best practices to protect yourself, your peers, and campus colleagues.



Club Meetings

Keeping in line with the University’s suspension of in-person instruction and move to online classes, all on-campus club meetings are postponed until further notice. If clubs have business to address, it should be done through Zoom or other online means.



Club Travel

The University of Arizona has suspended all non-essential university-sponsored travel<https://health.arizona.edu/healthalerts>. While many clubs have trips that are not sponsored by the university, ASUA is strongly recommending that clubs suspend ALL travel to events, conferences, and competitions for the remainder of the Spring 2020 semester. All requests for travel funding for the rest of this academic year will not be considered by the Appropriations Board. Clubs who have registered for conferences and hotels that have been cancelled should request refunds immediately (transferring registration fees to future conferences is NOT allowed under University business regulations). If ASUA directly purchased any conference registrations or reserved Motor Pool vehicles, please contact ASUA immediately to cancel reservations. Any restrictions to travel are subject to change and are under the guidance from the Provost’s Office.

Tabling Events

Mall forms for tabling requests have been cancelled. No request for outdoor spaces will be considered until further notice. Please do not contact Mall Scheduling to re-schedule your event. Mall Scheduling will follow University guidance regarding when to re-open Mall forms for reservations.



Club Resource Center and Registration

The Club Resource Center will be available via virtual meetings to answer any questions you may have. In person hours have been cancelled until April 6. E-mail the Executive Chief of Staff at ASUAECOS at email.arizona.edu<mailto:ASUAECOS at email.arizona.edu> on how you can reach Club Advocates through virtual means.



ASUA is working to determine the exact date clubs can register/re-register for next academic year. For next year, the club fee will be a flat rate of $75. Please stay tuned to https://asua.arizona.edu for changes to the registration/re-registration process.



Appropriations Board and Reimbursements

The March 16 Appropriations Board will be held virtually through Zoom. Clubs who applied for funding will be notified with the link. If your group was approved for general funding, you can continue to work with Audrey Mattson in ASUA to purchase items and submit receipts for reimbursements.



As changes occur to University operations due to COVID-19, ASUA will follow the guidance posted on the UArizona Coronavirus site. We encourage you to visit the site often to stay updated on UArizona’s operational status and examine its potential impacts to your club.
