Subject: [Graduate Coordinators] Removal of Dissertation/Thesis Archiving Fees and Thesis Archiving Requirement

Good afternoon,

We are happy to inform you that the Graduate College will no longer assess any fees for students to archive their dissertations and theses upon completion of their degree programs. In the past these fees were charged to doctoral students at the time they advanced to doctoral candidacy and to master's students upon receipt of their master's thesis submissions for archiving.

For many years master's students completing a thesis have had the option to submit their thesis to be archived. In large part due to the archiving fees, most students elected not to archive their theses. The University Libraries have been working to include as much of UA's intellectual output as possible in the UA Campus Repository<http://arizona.openrepository.com/arizona/handle/10150/129649>, an open access archive that includes dissertations and theses. In support of the mission of the Campus Repository, the Graduate College will now require that all master's theses be submitted for archiving. This requirement is in effect immediately for students graduating in Fall 2015.

A few notes about this change:

  * The archiving requirement applies to master's students who complete a thesis with registration in course number 910. Students completing a master's report (course number 909) will not submit their work for archiving. The requirement for doctoral students to archive dissertations and other final works remains unchanged.
  * Each master's thesis student must submit his or her own master's thesis, upon final approval of the committee. The submission process is explained in detail at http://grad.arizona.edu/gsas/dissertations-theses/submitting-and-archiving-your-thesis<http://grad.arizona.edu/gsas/dissertaions-theses/submitting-and-archiving-your-thesis>.
  * A student may elect to temporarily or permanently embargo the archived thesis so it will not be released to the public.
  * Each student's master's thesis must be submitted by the graduation deadline for the term (see http://grad.arizona.edu/gsas/degree-requirements/important-degree-dates-and-deadlines). This means that the thesis must have been defended and accepted by the committee with no remaining edits needed.
  * The student's master's degree will be awarded once the thesis and supporting paperwork have been received by the Graduate College, along with confirmation of other degree requirements per the normal procedures.
  * As is currently the case with doctoral dissertations, all master's theses will be available to the public through the UA Campus Repository<http://arizona.openrepository.com/arizona/handle/10150/129651> and available through ProQuest's Dissertations and Theses subscription database (subject to any restrictions requested by the students).

We look forward to sharing more of the valuable research being conducted by our master's students by publishing their theses through these archives!
