Hello All,
As I mentioned during the faculty meeting, the UA will be using a new
Payroll System - it is to go live at the end of September. At this time,
the Business Officers on campus have been charged with setting up what is
called the security access requirements for each unit on campus.
This new payroll system is a web based system that each employee will enter
their time on line - thereby ending the need and use for a paper timesheet.
But, with this on-line time record, each supervisor will have to approve and
submit the employee's time record on-line. The submission will be
forwarded to our Business Office where we will coordinate the time records
and effort. I will be the approver for the School's payroll and Joy will
be my backup.
What I need from you (today if possible) is to let me know if you will be
the time approver for your laboratory (including all employees - students,
staff or appointed personnel) or if you want to designate someone in your
lab as the approver. The designee can not be solely support on grant funds
as this type of work is outside the effort of a research grant and this
person must have first hand knowledge of the time worked by all employees.
Due to the fact that we have a limited time to create this security access
(it must be completed by this week) I only want to know if you will be the
approver or assign one designee not multiple persons. Later as we see how
the system works, we may be able to create a more complex hierarchy of
approval for each lab. But, the goal at this point is to get everyone in
the system and get the security setup - so that we will get paid when this
new system comes on board in September.
Just a note - all employees will need to submit a time record on-line but
only those employees who are non-exempt or hourly must record hours worked
or leave taken for each day. This classification is - classified staff who
are non-exempt (Research Technician and lesser classification),
undergraduate students, and hourly employees. This group of employees will
be called "Positive Time Reporters" in the new system. The other
classification of employees will be called "Exception Time Reporters" which
means you only have to enter leave time hours or supplemental compensation
hours worked This group includes - Graduate Students on a contract,
full-time Exempt Classified Staff, all full-time appointed personnel (post
docs, assist research scientists, lecturers and such) and all
full-time/part-time faculty.
All faculty in the School will have their individual time record will routed
to Ken once it is submitted on-line. This may change in the future as the
system is in the implementation stages by the University.
Please let me know as soon as possible about your approving status. Plus,
let me know if you have any questions about this matter.
