Good afternoon everyone!

My Wonderful Wednesday email had to wait until Fantastic Friday for this week, my apologies!

I want to introduce our new Accountant II- Gabby Cordova, her first day was yesterday, August 17th.    Gabby comes to us with a wealth of institutional knowledge and UA systems experience from her previous positions at the UA.  With Gabby onboard (up and running as soon as all her access is approved to the multitude of different programs) the business office should be able to make much better headway towards reaching our critical goals.

I feel there is still some confusion on the new process for when a PCard is used to make a purchase.  I don't want to make things harder or more confusing for anyone, so I want to clarify the process here:

WITHIN ONE TO TWO DAYS AFTER THE PCARD PURCHASE
1-Complete PCard Authorization Form (template and form example attached).  Ensure UA Business Purpose and account number are on the form.  Separate out tax or shipping from total amount and enter the breakdown.
2-Email SPLS-BIZOFFICE at arizona.edu<mailto:SPLS-BIZOFFICE at arizona.edu> the completed form and receipt copy (or electronic receipt)
3-Turn in any original receipts to the SPLS Business office for filing and retention

Please send one email with both the form and the receipt.  The business office receives a plethora of PCard emails and trying to match up emailed forms with emailed receipts can be like looking for a needle in a haystack and takes too much time.
