Dear Colleagues,

An essential responsibility of PIs and Co-PIs on research grants is to complete "Effort Certifications", which ensure that your grants are being accurately charged for personnel time supported on these restricted funding sources. When Effort Certifications are not completed on time, it can result, for example, in your grant being charged for personnel that are not working on your project.

Effort Reporting requests are sent out to PIs twice per year, following July-December and January-June time periods.

Unfortunately, PIs are not consistently responsive when asked to complete Effort Certifications and this results in non-compliance. Despite recent requests, ALVSCE currently has a large number of outstanding "Effort Certifications" associated with specific individuals across multiple units that need to be completed immediately. Please get these done to avoid problems down the line.

Here, FYI, is the procedure to follow to see if you have outstanding Effort Certifications, and to then approve or disapprove them:

  1. From the UA homepage, on the "Resources" tab, select "UAccess".
  2. Under "Administrative Systems", Select "Financials" (you will be prompted to login via net ID)
  3. From left column list, select "Action List".
  4. On top bar select "Filter".
  5. For "Action Requested", select "APPROVE" and then click on "filter" (this will bring up Effort Certifications requiring approval)
  6. Click on each ID pertaining to an Effort Certification and review the report start and end dates of the effort as well as the accounts being charged.
  7. If information is correct, click on "Approve" button at the bottom of the page.
  8. If information is incorrect, input a note into the NOTES AND ATTACHMENTS portion providing sufficient details for accounting to make corrections, click "ADD" button to right, and then select "Close".

Additional detailed information on Effort Reporting can be found here<https://research.arizona.edu/administration/managing-projects/effort-reporting/effort-reporting-procedure> if desired.

Thanks for your help in ensuring our compliance with UA research policy.

Kind regards,
Jon
