[Faculty] Ensuring timely proposal submissions

Dear ALVSCE Faculty and Staff,
Our Grants & Contracts Managers' team is shorthanded while we're working to fill Fatemah Dili's vacated position. To help our team manage this significantly increased workload and ensure your proposals are submitted in a timely manner, following these guidelines is essential:
* Be respectful of your Grants & Contracts Manager's time. To keep up with the increased workload, they are working nights and weekends.
* Notify your Grants & Contracts Manager now of any proposals with due dates between now and December 31 by sending them the funding announcement.
* Meet ALVSCE's internal proposal routing deadlines. (See attached for ALVSCE Grants and Contracts Proposal Routing Process and Deadlines.)
* Fifteen business days prior to the sponsor's submission deadline or (twenty business days prior to the sponsor's submission deadline for proposals involving subawards), the Grants & Contracts Manager must receive the following:
* Funding Announcement
* Budget Outline
* Eight business days prior to the sponsor submission deadline, the Grants & Contract Manager must receive the following:
* Project Title
* Project Start/End Dates
* Project Abstract/Summary
* Final Budget, Budget Justification and Documents for any Subawards
* PI/Co-I Distribution of Credit and F&A Revenue
* Proposals that need to be submitted by Sponsored Projects must be completed three full business days before the sponsor's deadline (i.e., proposals due on a Friday must be completed in the sponsor's submission system before 8 am on Tuesday).
* If you are a new PI, try to obtain training on proposal preparation and submission before you begin working on a proposal. Prioritize attendance at training sessions. Understanding the proposal preparation and submission process greatly reduces the time required to submit proposals. (Emails to follow on upcoming workshops.)
* If you submit proposals to the NSF, start using SciENcv now. It is mandatory beginning October 23, 2023, for preparation of your Biosketch and Current & Pending documents. Researchers are responsible for completing and certifying these documents. Accuracy is important.
