Good morning, everyone,

Several of you have faculty in your respective Units who intend to utilize their work at a previous institution as part of their upcoming promotions. I have reached out to you about the necessity for Provost approval of using previous work, and you responded with questions about what you must relay to the new hire in the offer letter. I have the answer!

If the previous work were done at a peer institution (see peer institution list here<https://provost.arizona.edu/news/new-peer-and-target-peer-institutions>), this wording must be inserted into the offer letter:

" X # of years spent at a previous peer institution [insert name] prior to joining the University of Arizona will be credited upon appointment. As such, you will be able to include research, teaching and service [insert which are applicable] activities from previous institutions in your promotion packet at the University of Arizona. This will allow you to go up for promotion/tenure review early based on discussions with your department head.

The offer letter with the verbiage above will, as usual, be reviewed by the Provost's office to ensure that the faculty meets the criteria for consideration of earlier work.

IF the candidate's previous work was NOT done at a peer institution, approval of previous work will be considered on a case-by-case basis, but can NOT be assumed. Please work with me to get Provost approval BEFORE the letter is presented to the candidate.

IF you have faculty who would like previous work considered, but this has not yet been approved by the Provost's office, once again, please work with me and the Provost's office to see what portion of their previous work (if any) can be considered. Do not make any assumptions. Make sure we have approval. This will prevent scrambling and resultant hard feelings on the part of the faculty member.
