[Agvisors] 2251 Outreach Calendar & GRO 7wk1 & Reg session lists

Hello Agvisors!

Thank you for your time in our Agvisors meeting this week to review this information together. Please share with me how I can support Academic Eligibility (AE) related needs and additional reports that can be helpful going forward.
Included below is the Box url linked of the potential GRO eligible students for your consideration of future outreach by their assigned advisor/team. As we get into future sessions this term, I will add to the Box folder lists of students for additional outreach, for example 5wk2, 5wk3 & 7wk2 Potential GRO students.

Be sure to do what you need to, to ensure that you have the time and space to connect with students on the various lists throughout the semester. While you won’t have students every week, planning ahead will help ensure timely, individual outreach to students.

Academic Eligibility – Nancy sent out the initial outreach on behalf of the College for R, W, & Pr students using Trellis Communications and we continue to work with Rachel McMurray on updated College level communications out to students where in the outreach calendar CALES is listed. Students that were in CALES and on the AE status spectrum as of Jan. 3 were sent initial outreach from CALES and that outreach is visible in Trellis Comms within each student's record.

Agvisors will continue to edit the relevant student contact tracking<https://arizona.box.com/s/yawdsxufzuqvcult6h4uwblr7vhj0wqm> <https://arizona.box.com/s/yawdsxufzuqvcult6h4uwblr7vhj0wqm> sheets cells in the tab that are light green. This will maintain the integrity of the cell formatting and overall worksheet formatting.

As discussed in Jan. 28 Agvisors meeting, the Learning Lab (LL) column has been updated with a drop-down menu to include "Continuing, No, Yes" as the options to select for that column. Continuing means they are remaining using the LL, No means they do not want to have the LL referral provided to them, and Yes means they agreed to the referral being submitted by the advisor.

Be sure to update the sheet each time you connect with a student on R, W and Pr. Updating regularly will enable us to monitor the progress of the interventions, including whether or not to place holds on students who have not met with you.
     *
Due to the formatting, please do not filter or sort this sheet, as it may damage the formulas and formatting contained within each cell. The top row is “frozen” and the sheet is sorted by major, campus, and last name (in that order) so that you can find your assigned major name easily by scrolling down the sheet.
     *
It is highly suggested that we each use Excel Online through Box, to enter edits for your students.
     *
Please do not download the Excel file and then re-upload it – this will erase any edits others have made between when you downloaded and re-uploaded.
     *
Add your students to the sheet as you come across those that should be included in the contact tracking. You may insert a new row within your major alpha list.
        *
Each advisor may enter their additions or provide me (Danielle) with the student's name, SID and why they are being added using Teams message or email, either method works for me 🤩

Box folders/files in CALES CARSS with student information:

GRO<https://arizona.box.com/s/3v1mevepw0n6vja64o5q4yn2wrwd1bhz> Spring 2025 folder includes and students are sorted by alphabet using student first name, and then alpha sorted by primary major plan code for CALES majors and both Main & Online campuses:

5wk1, there are no CALES students enrolled in 5wk1 GRO courses and no report to view in Box.
     *
7wk1 session, report run Jan. 28 (Feb. 18 GRO deadline), view in Box
     *
Regular session, report run Jan. 28 (April 1 GRO deadline), view in Box
        *
These reports come directly, as is, from UAccess Student Center and users are not permitted add info or columns for additional sorting from within UAccess. I added the Excel table format for our viewing purposes. You may download and keep your own copy and sort it however fits your needs. Advisors may also choose to run their own Potential GRO reports as well. Advisors are not asked to edit or add within GRO sheets. They are being provided to help your outreach not for contact tracking purposes.

Students can access the self-assessment from the url emailed to them by REG-Underwood & also Nancy-CALES, and from UAccess Student Center > Forms > eligibility self-assessment.

Trellis Opportunities will be added at some point in the future by the respective campus resource and may eventually be visible in Trellis within each student's record per Ludwig.
        *
UAccess 3Cs communications will reflect the student's Registrar provided outreach regarding their AE status. They did not use Trellis Communications for that outreach.
