[Agvisors] Template Email for Holds Preventing Registration

Hello Agvisors -

As soon as you have a chance before the weekend, each advisor can reach out, via mail merge, to the students that have a hold that will block their priority registration.  In the attached spreadsheet, there is a tab for each major.  The attached word document can be the foundation of your mail merge email.  You are welcome to add your traditional email signature to the bottom of the word document and adjust greetings, etc. to make it sound like your voice.

I am more than happy to help anyone in sending out the mail merge to your students.

Here are instructors for sending it out:


  1.  Save both attached documents to your computer.
  2.  Open the "Hold Mail Merge Email3.5.20" document and add your email signature.  Make any changes you'd like to make it sound more like you.
  3.  Click on "Mailings: [cid:image001.png at 01D5F2DF.B665C790]
  4.  Working your way left to right along the Mailings options, click on "Start Mail Merge", then select "Email Messages"
  5.  Working your way left to right along the Mailings options, click on "Select Recipients", then select "Use an Existing List"
  6.  Find the "Enrollment Holds 3.4.2020" file from your computer where you saved it.
  7.  Select the spreadsheet tab with your major.
  8.  Working your way left to right along the Mailings options, further down the line, click on "Preview Results" to see how the email will display to students
  9.  You can also scroll through the emails by using the arrows to double check. I like to double check that it intends to send the same amount of emails that are in the spreadsheet to make sure the correct tab was selected.

  1.  Working your way left to right along the Mailings options, click on "Finish & Merge" (should be last option), and select "Send Email Messages"
  2.  A "Merge to E-mail" box will pop up; you'll need to select "Email" from the drop-down options under "To:", and you'll need to add something to the Subject Line (something like "Hold on UAccess Will Prohibit Priority Registration", but you can do whatever you want)
  3.  Click "OK" to send it!
