[Plsfaculty] Vacation Carry Forward, Holiday, and University Closure

Hello All Employees who are Benefits Eligible and Accrue Vacation:
I wanted to send out a Help Email to figure out Vacation Carry Forward, days that are Holidays, and how University Closure works for 2022-2023. Every year it gets confusing so wanted to send this now so everyone can plan out vacation and time off accordingly.
Vacation Carry Forward
* Staff/Faculty: Due to COVID, ABOR has decided to increase the allotted Carry Forward hours from 264 hours to 320 hours. Accruals in excess of this amount are forfeited during the pay period that includes January 1st. Translation: you must use your excess hours by December 26th or you will lose your vacation hours.
* Postdocs: Your limit was not modified and remains at 1 ½ times the maximum number of vacation hours earned in a given year.
* Year 1: 120 hours at 1.0 FTE Fiscal year appointment
* Years 2-5: 180 hours at 1.0 FTE Fiscal year appointment

Holiday
* All benefits eligible employees are given Holiday pay for the following days (these will be populated into your timesheet automatically by Payroll):
* Thanksgiving Day- 11/24
* Christmas Day- Observed on 12/26
* One “floating” holiday associated with Christmas Day- Observed 12/23
* New Year’s Day- Observed 1/2
* Employees required to work on a holiday: Employees shall receive either an alternate day off with pay or holiday pay in addition to regular pay for the time worked if required to work on a holiday. The determination of which shall apply is at the department's discretion. For SPLS, if you are needed to work on a holiday, you will clock time as normal for that Holiday date and you will use the “HLE-Holiday” or “HLP-Holiday” for the day off you take in the same pay period.
* Example: I have to work day after Thanksgiving. I clock in 8 hours for 11/25 as “Regular” or 1 hour “PAW” and delete the pre-populated “Holiday” 8 hours in 11/25 column/box. I work it out with my supervisor to take 11/28 off instead, so I put 8 hours “HLE-Holiday” or “HLP-Holiday” for 11/28.

University Closure
* All benefits-eligible fiscal-year employees will receive University Closure Time to be paid during the Closure days: November 25, 2022 & December 27-30, 2022
* You cannot replace University Closure with Furlough or Personal Flex time and use University Closure dates later.
* Employees required to work during University Closure: Those who will be working during the University Closure should report normal work hours and work with their supervisor to use University Closure days at a convenient time before June 30 of the following year (aka: by June 30, 2022). These decisions are made by the supervisor, not individual employees.
* Similar to Holiday above, you will delete the “UCE-University Closure” or “UCP-University Closure” pre-populated hours and clock in “Regular/PAW” for the hours you work.
* You and your supervisor are responsible for keeping track of University Closure days to use at a later time. There are no reports and Payroll has no tracking. If they are not used by June 30th, you will forfeit those hours. Also, University Closure Time is not payable on separation from University employment.
