[Plsfaculty] Time Reporting Reminder

Hello All,
The University and the Business Office has sent out various Time Reporting instructions. Here is a brief summary of all the key points. Please ensure your employees, including Undergrads, Postdocs, GA, and Staff, are aware of this. You may cut/paste this information to share:
For all Staff/Student/GA/Faculty/Postdoc:
1. You will report time you worked as normal, either “PAW” or “Regular/Student Pay” Time Reporting code, if you are working remotely or in the lab.
2. If you are not able to work remotely or go into the lab, then the hours will be reported as “University Release” time reporting code. You will report up to the number of hours in the UAccess system.
* To see how many hours you are in the system, go to your timesheet. In the upper left corner click on “View Job Information”. At the bottom it lists the number of hours.
3. If you are working remotely or in the lab, but not the entire number of hours in the system, then you will report both “PAW/Regular Pay/Student Pay” and “University Release”. Report accurately how many hours you were not able to work: subtract the number of hours you actually worked from your total hours in the system, remaining is “University Release”.
* You will report “University Release” starting March 16th when the University started remote work.
* Example:

Student Employees:
1. All student employees will no longer be eligible to report “University Release” starting May 6th (end of the academic semester). After that point, students will only report hours actually worked.
* If no work is available remotely, then the student will not receive any pay
2. If you have a student who will not be able to report work hours, please send me their names (see attached email for instructions)
3. Next week each supervisor will be contacted for the annual renewal of student employees.
GA:
1. GA contracts expire May 24th, these time reporting instructions are implemented until then
2. After May 24th, Supplemental Compensation will be implemented and University Release will not be used. Supplemental Compensation clocks in the number of hours actually working, “University Release” will not be available to offset time.
Few more points:
* You are able to go back to prior timesheets to adjust time as needed. Please ensure you do it before the end of this pay period. If not, you will not have access to the week of March 16th to adjust time.
* Helpful links are in the HR email below covering time reporting more in depth
* Recommend having the employee send you a brief summary of what tasks were accomplished for the week and the number of hours. This will allow you to see if the timesheets are accurate before approving. Example reporting is attached.
