[Plsfaculty] July Grant Proposal Processing

Hello All,

 

Quite a few of you have notified me that you will be submitting grant
proposals during the first two weeks of July.   A majority of the grant
proposals will be due to the sponsor (NSF) on July 9th.    If you are going
to submit a proposal in July and have not let me know - please let me know
by tomorrow (Friday June 18th.)

 

Due to the July 4th holiday (which will be observed by the UA on July 5th)
and the UA SPS 3 day rule for proposal submission, we should start the
proposal process next week.   Please also remember this is Year End Close as
well as starting on July 6th - it is the start of the new year.   Which
means the Administrative staff will be extremely busy with closing out the
old year and opening the new year on the various UA financial systems.

 

Today we received the new ERE rates for FY11.   Starting tomorrow all grant
proposals that we process will use these rates.  The new rates have
increased between 1.1 to 5.9 percent depending on the employment category.

 

The new ERE rates are:

 

Faculty and Appointed Personnel:            28.4%  (1.1% increase)

Post Doctoral Scholars:                               22.5%  (2.4% increase)

Classified Staff:                                              44.9%  (3.8%
increase)

Students - Undergrads:                                3.4%    (1.4%
increase)

Grad Students:                                               42.5%  (5.9%
increase)

 

Your current grants are fine, as we calculate a 3 % increase in personnel
services each year - just in case there is a raise in salary (okay everyone
stop laughing) or the more realistic increase to ERE rates.

 

So with the various deadlines and such in the upcoming three weeks - for
those of you who are submitting grants proposal during this time please
start working with me on the budget this upcoming week.  Then we can start
working with Renee to route and submit the grant proposals.

 

A few items needed to start the budget and routing process:

 

Budget Preparation (next week):

 

1.	Start Date 
2.	Duration
3.	Sponsor and what program you are applying 
4.	Working with me on the budget.
5.	Title of the proposal
6.	Discussion of Cost Sharing or Matching funds

 

 

Routing Process (which must occur at a minimum 4 days before the UA mandated
submission date (if the NSF deadline is July 9th, the UA submission deadline
is 10:00 a.m. on July 7th therefore we have to start routing the proposal on
June 29th.

 

Documents needed to route:

 

1.	Finalized budget for the PI and Co-PIs
2.	Finalized budget justification for everyone
3.	Cost Sharing Worksheets and accompanying letters.
4.	Current and Pending for all PI, Co-PIs, and Senior Personnel (if
applicable)
5.	Draft Proposal Summary

 

Submission Process - all finalized documents uploaded into the sponsors'
application.

 

As always, Renee and I will prepare all of the routing documents and enter
or upload all of the budget and Current/ Pending forms.   If it is a
Grants.gov application - we will upload all of the documents to the
Grants.gov application.  For Fastlane submission - we will assist in
uploading all other documents.
