[Plantsci] Fiscal Year End Updates

Dear SPLS Community,

This note is very important - please read it. We have changes coming as this fiscal year ends due to university policy. Please note: we will NOT be able to use PCards or Buyways from June 15 to July 1, and we have very early deadlines for reimbursement requests, PO invoice payments, and related. Special rules apply to travel. Details are below.

 We will do our best to remind everyone, but if you can, please take a moment to add these dates to your calendar if they apply to you. Please feel free to schedule time with our business office or communicate directly if you have questions or concerns - communication is key.

 Our Business Office team will provide more information at our upcoming faculty meeting.

As you may be aware from last week's  Finance & Budget<https://finance.arizona.edu/> announcement, there are some important changes to note for the upcoming Fiscal Year End (FYE) dates and deadlines. Below we would like to highlight these changes to purchasing deadlines that you need to be aware of.

  1.  June 15th, 2026: LAST DAY for any PCard transactions and Shop Catalog requisitions until July 1, 2026.
     *   Arizona Buyways/Shop Catalogs will be turned off.
     *   PCard activity will be FROZEN and unavailable to use, except for travel activities.
     *   If you need an exemption during the PCard freeze, please email DBS-Team2 at arizona.edu<mailto:DBS-Team2 at arizona.edu> by Friday, March 27th, 2026, with your justification as to why you need to make purchases during this time so we can request an exemption.
  2.  May 27th, 2026: Deadline to submit reimbursements and DV/PO invoice payments to your business office to meet the June 1st, 2026, deadline to issue payments.
  3.  April 24th, 2026: Deadline to request large purchases that require a requisition/PO to your business office to ensure payment within the current FY26 year to meet the May 1st, 2026, deadline for PO issuance. Beginning May 5th, requisitions can be created for FY27

  1.  April 1st, 2026: Deadline to submit new PCard requests for FY26 as PCard activity will be frozen on June 15th, 2026. Please take the PCard Edge Learning training and submit the request within the Concur PCard Request process.

These changes are essential to align payments with fiscal activities and reduce errors that have become a common occurrence for FYE and aim to bring about a smooth transition for the new fiscal year.

We understand that this is a unique change that is new to all of us. We will continue to provide details as they become available and provide you with as much time as possible to adjust your planning.

We ask that you please consider how these changes may potentially affect your research awards/projects and other accounts and be proactive in planning for closing Fiscal Year 2026. If you have additional questions or concerns, please bring these to your business teams to review.

We appreciate your acknowledgement of these changes, and as stated, we will provide updates as we learn of any additional changes.
