[Plantsci] Please read: change in financial and admin procedures in SPLS

Dear SPLS community,

I am pleased to share that we are initiating an improved system for financial documents and administrative requests in SPLS. This is one part of our ongoing process of increasing stability, efficiency, accuracy, and communication across our unit.

The new system is meant to:


  1.
Make submission much easier for documenting things like P-card use and reimbursement requests
  2.
Allow tracking of every submission, so nothing is lost in the void of SPLS-bizoffice
  3.
Ensure that you will receive a confirmation of your submission, so you know it's been received
  4.
Support submission of images of receipts, or digital receipts (no more paper receipts...!)
  5.
Make it easy to submit documentation from anywhere, including on your phone in many cases
  6.
Make it straightforward for 'backup teams' of accountants to handle our submissions if needed, as the same system now is used by multiple units.

This new approach ('Smartsheets') should be intuitive and easy to use. It is brought to us by Jen Rascon, to whom I am tremendously grateful. The links below will go live on our new website shortly.

We will continue to monitor SPLS-bizoffice for the coming weeks, but the links above have many benefits and are the preferred method now. Please know that Smartsheets are still improving, but they should be stable and ready.
