Zoom’s September 27th release. The following list covers each scenario and provides details for how each already scheduled meeting will be affected.

If currently scheduled meetings have either a passcode existing, or the waiting room option enabled, no change needs to occur.

If scheduled meetings have neither passcodes, nor waiting rooms enabled, Zoom will add a waiting room to these meetings by default at the time of the update.

•                    Two nice options exist that can make this change a bit easier for faculty

     *   Waiting rooms can be turned off as soon as the Host enters, all participants will then make it directly into the meeting.
     *   You can also edit your waiting room settings so that only “guest” participants land in the waiting room. “Guest” participants are individuals who use a Zoom login. Participants who use the SSO login option. To turn this feature on, go to Arizona.zoom.us and click Settings. Under Waiting Room Options, click Edit Options and choose “Users not in your account will go in the waiting room”.



If Instructors do not want a waiting room in their meeting, they will need to take one of the following actions:

•                    If they want to apply the passcode option where students manually enter the passcode prior to meeting entry, they should turn this on prior to the change coming later this month. They will not need to update the URL, but they will need to communicate the passcode to their students prior to the meeting.

•                    If they wish to apply the passcode option, with the one-click join URL, they will need to update their URL. I believe the simplest option here is to delete and recreate the meeting – with passcode on, and “Embed passcode in invite link for one-click join” enabled.



If your currently scheduled meetings have a passcode, but do not leverage the one-click URL setting, you can add this feature, but it will require you to update all of your meeting links whether posted in D2L or otherwise.



Update for Breakout Room pre-assignment:
Zoom plans to release an update to Breakout rooms on September 21st. Please, request your faculty and staff avoid editing meetings with breakout rooms prior to this update. This issue has caused pre-loaded breakout rooms to be removed after any edit to an existing meeting. After this update, meetings with pre-assigned breakout rooms can be edited.

Please, advise all Zoom users to go to their profile pic, click “Check for Updates” often. Keeping Zoom up to date will ensure they will have the best experience Zoom can offer. Also, encourage all Hosts and Participants to choose the SSO login option when scheduling, starting or attending a meeting.
