Hello.

Please share the below IMPORTANT NOTICE regarding 12/23 paychecks with your colleagues and students.

EXEMPT EMPLOYEES
If you are an “Exempt” (salaried) employee, you will need to add  the “PAW” indicator to your time sheet.   Those folks who do not know anything about “PAW”, it is very likely this will not apply to you.  If you are still in doubt, please check with your supervisor.

ALSO PRIOR TO THE UNVERSITY CLOSURE
In addition to the current time sheet, please also submit the time sheet which begins the 12/19 pay period.  We all want to ensure time sheets are submitted and approved in preparation for the January 6, 2017 payday.

Due to this years University Closure deadlines, paychecks will be distributed by University of Arizona Mail Services to departments on Friday, December 23, 2016. This will allow each department to obtain and distribute checks in a timely manner. Please note that pay day is still Friday, December 23, 2016 and checks should not be distributed to employees prior to this day. If paychecks are not picked up by 3:00 pm on Friday, December 23, 2016, they must be mailed by the department to the employee's home address.



The following tips will assist you in ensuring that each employee receives their paycheck prior to the University Closure. Your support is appreciated.





Paycheck Distribution Procedures for Pay Date December 23, 2016:

** Departments must assign a representative to be responsible and available for the distribution of employee paychecks on December 23, 2016.  It is the department's responsibility to ensure that every effort is made to distribute paychecks to employees.



** Employees must be given reasonable access to pick up their paychecks. Deviations from usual distribution procedures within a department should be communicated as early as possible to employees.  If checks are to be distributed from a different or pre-arranged location, please ensure that all employees are notified of the change.



** If an employee will not be available to pick up their paycheck from their department by 3:00 pm on December 23, 2016, they must make arrangements with their department to have the paycheck mailed to them.  If departments mail paychecks to employees, they should make labels for the pay checks with the employee's home address or have the employee supply a self-addressed envelope to mail the check in.

** DO NOT keep undistributed checks in your office beyond the 3:00 pm deadline for any reason.  If paychecks are not picked up by 3:00 pm on Friday, December 23, 2016, they must be mailed by the department to the employee's home address.
