Subject: Extension Annual Performance Reviews (APR) Kickoff!

Greetings, Extension Faculty!

Welcome to “Annual Review Season 2024!”  I wanted to be sure to provide you with the information you need to make this as seamless as possible.  The most important items are the following:

  *   We will use the exact same format as last year (see attached “APR 2024 Guidance” for details).
  *   Monday, February 5th at 9am is the deadline to have any Extension work entered in the UA Vitae system.
  *   UA Vitae is now called “Faculty Portfolio”.

A few things to point out as there are some newer faculty who will be going through this process for the first time:

1.                  Submitting your Faculty Portfolio is the first step in the Annual Review Process.

2.                  For those in the Agent role, the Activity Input Form (it reads “2023 Cooperative Extension APR”) has been initiated and is now live on your Dashboard within Faculty Portfolio. This is simply the initial step to submit your APR for peer review.

     *   Click on the link in your Dashboard titled Confirm your Vitae is ready for 2020 Peer Review
     *   Verify all information for 2023 has been entered correctly and/or correct anything that needs to be corrected.

                                                              i.      You will not be able to select the “Ready for Peer Review” until any activities which require your attention are cleared (these are in red and are usually tied to activities which have an “ongoing” component).

           *   To clear them:
              *   Simply verify it’s correct and click Update in the appropriate section, or
              *   Edit the end date of the activity and Update

3.                  Once you submit the Ready for Peer Review, that will clear the item from your To Do list on your UA Vitae Dashboard.  Again, this process is simply to allow you another look at the content you entered and notify the system that it’s ready to be peer reviewed for 2023.

4.                  You do have the ability to save and go back, so you do not have to enter everything in one sitting.

5.                  If you need to pull any AAP-5 data, please submit a request to the Support Tracker<https://arizonace.quickbase.com/db/bmipv6buc?a=nwr&originalQid=td> so that it can be assigned and processed.

6.                  If you still don’t have access to Faculty Portfolio, please work with your business team to provide access.  Unfortunately, I’m not provisioned to give access.
