[CED/CD/EAT] IMPORTANT CHANGES TO PROPOSAL ROUTING TIMELINE-December 2021 to January 2022

Hi, CEDs and Business Leaders:

Please see the communication below from Parker Antin and make sure that your faculty are fully aware of this situation and the alternate dates.  All proposals with due dates up to February 7, 2022 must be received by your Grants and Contracts Manager by 5:00 p.m. on Monday, December 20.

Apache, Coconino, Gila, Graham, Mohave, Navajo, Pinal and Yavapai Counties please note that Fatemah Dili will be on vacation Thursday, December 9th - Friday, December 17th, returning to work on Monday, December 20th so please don't delay in contacting Fatemah with all proposals.

Please communicate with your office immediately to make sure everyone is aware of this shortened turn-around time and call with any questions.

ALVSCE Faculty and Staff,

Due to a major update to the University's research software platform (see email below), the UAccess Research System will be inactive from January 14 to January 25.

To ensure that all ALVSCE submissions are properly routed and to meet the ALVSCE eight day submission deadline for initial routing of documents (see attached), we are implementing the following routing deadline:

For proposals with submission deadlines between Friday, January 14, 2022, and Tuesday, February 7, 2022, your Grants & Contracts Manager (listed below) must receive all documents necessary to route your proposal by close of business Monday, December 20. These documents include the Title, Start/End Date, Budget, Budget Justification, Draft Project Summary, documents needing Sponsored Projects' signature, and final subaward documents.  We recognize the inconvenience that this deadline may cause.

For more complex proposals that may include multiple PIs, sub awards and/or complex planning, an earlier submission deadline may be necessary. Please contact your Grants and Contracts Manager as soon as possible to discuss your proposal and submission deadline.

UAccess Research System Update
Proposal Routing Timeline - January 2022
The current UAccess Research System (Kuali Research under the hood) will be updated to Kuali Research Software-as-a-Service  in January. To ensure that all proposals are routed properly during the update, please take note of the timeline:

  *   Jan 14, Close of Business: All UAR proposals that have not been finalized will need to be routed to the SPS route stop.
  *   Jan 20, 5 p.m.: UAR access ends and the Kuali update begins.
  *   Jan 21 - 24: SPS Preaward will be submitting electronic submissions that correspond to the fully routed and approved UARs in the corresponding systems (ASSIST, Grants.gov<http://grants.gov/>, Research.gov<http://research.gov/>, etc).
  *   Jan 25, 8 a.m.: Kuali goes live

In line with University Closure timelines, any UAR document that needs to be submitted to the sponsor between Jan 18 and Jan 28, will need to route the proposal in UAR and have the proposal routed to the SPS route stop in UAR by close of business on Jan 14.
While the systems will have a lot of similar information, the interface will be different. Any UAR proposal that has not been finalized in the current UAR system by the time it shuts down to start the Kuali update will be in a saved status in Kuali and will need to be reviewed by the initiator to comply with the new interface. After that review, it will then be placed into routing.
A system will be in place when UAR goes offline in the event there are emergent proposals that were not able to route in UAR. More information on this process will be made available once it is finalized.
