[CED/CD/EAT] APR/UA Vitae Updates: January 31st, 2020 Deadline to enter content

Greetings, Extension Faculty!

I wanted to be sure to provide you with the deadline to have your Vitaes completed within the UAVitae system.  This year's deadline to complete your entries and submit is Sunday, January 31st, 2021.

A few things to point out as there are some newer personnel who will be going through this process for the first time:

  1.  Submitting your Vitae is the first step in the Annual Review Process.  It's a peer review.  By submitting, it's providing peer reviewers to see your activity for the 2020 calendar year and provide feedback to your manager for use in your overall review.
     *   As noted above, the Due date to complete your entries into the Vitae system is Sunday, January 31st at 11:59pm.
        *   NOTE: Because UA Vitae is a University-wide system, many departments will have similar dates.  Waiting until the final deadline can result in system overloads and crashing - preventing you from entering all your content and having it evaluated.  Please be mindful of that and try to avoid entering anything last-minute.
     *   The Activity Input Form (it reads "Confirm your Vitae is ready for 2020 Peer Review") has been initiated and is now live on your Dashboard within UA Vitae. This is simply the initial step to submit your APR for peer review.
        *   Click on the link in your Dashboard titled Confirm your Vitae is ready for 2020 Peer Review
        *   Verify all information for 2020 has been entered correctly and/or correct anything that needs to be corrected.
        *   You will not be able to select the "Ready for Peer Review" until any activities which require your attention are cleared (these are in red and are usually tied to activities which have an "ongoing" component).
           *   To clear them:
              *   Simply verify it's correct and click Update in the appropriate section, or
              *   Edit the end date of the activity and Update
  2.  Once you submit the Ready for Peer Review, that will clear the item from your To Do list on your UA Vitae Dashboard.  Again, this process is simply to allow you another look at the content you entered and notify the system that it's ready to be peer reviewed for 2020.
  3.  You do have the ability to save and go back, so you do not have to enter everything in one sitting.
  4.  If you need to pull any AAP-5 data, please submit a request to the Support Tracker<https://arizonace.quickbase.com/db/bmipv6buc?a=nwr&nexturl=%2Fdb%2Fbmipv6bik%3Fa%3Dshowpage%26pageid%3D14> so that it can be assigned and processed.
  5.  With 2020 being as chaotic as it has been, some guidance has been sent by the Provost's Office and Faculty Affairs.  See the September 10 article<https://provost.arizona.edu/news/2020/09/faculty-and-administrator-annual-performance-review-process-annual-review-2020> as well as the attached e-mail from December 3rd for additional information on 2020 reviews.
  6.  For those in Assistant/Associate in Extension roles, it is still required to enter content into the UA Vitae system.  However, they will not be part of the Agent Peer Review process.  For more information, please see the January 2020 memo from Dr. Silvertooth (attached).
