Using Zoom to create a persistent meeting "space"

Hello,

Did you know you can set up Zoom to act like a virtual room that can stay persistently open for anyone to drop in? These can be helpful to hold ad-hoc office hours, lunch breaks, or to bring everyone together for an unscheduled meeting.

Each person with a NetID receives a Personal Meeting Room from Zoom. This room is a virtual meeting space permanently reserved for you that you can access with your Personal Meeting ID (PMI) or personal link. Your Personal Meeting ID (PMI) is a meeting ID that is unique to you. By default, the Zoom system selects a random PMI for you. However, you can edit your PMI to be something easy to remember, like your office phone number. That way, it will be unique to you and you won't forget it.

Steps to change your Personal Meeting ID (PMI)

  1.  Go to your Zoom personal settings https://arizona.zoom.us/profile (you may get asked to log into WebAuth)
  2.  Click Edit next to Personal Meeting ID.

  3.  Change the 10 digit number to something unique and that's easy to remember, like your office or cell phone.
  4.  Check the box "Use Personal Meeting ID for instant meetings"
  5.  Click "Save Changes"

After hitting the Save Changes button, you should see your PMI link on the next screen that can be distributed to your colleagues.

Your personal meeting room can configured to stay open regardless if you're in attendance. This is a nice feature so that others can start chatting with each other even if you're not in your room and running a few minutes late. To enable this, go to https://arizona.zoom.us/profile/setting and find the toggle for "Join before host", make sure it's blue, and looks like below.

Your Personal Meeting Room is ideal for use with people you meet with regularly. However, because it is always accessible with the same Meeting ID and personal link, it should not be used for back-to-back meetings or people you do not meet with regularly. Once a participant has the link to your PMI, they can join it at any time the meeting is in use. It is persistently open.
