Dear Instructors,

I am writing to share some adjustments to our academic policies that are being implemented this semester in response to the tragic death of our dear colleague, Dr. Tom Meixner. The impacts of this tragedy are deeply felt across our community, and it is important that we come together as a university community to support each other, including by extending compassion and flexibility to students impacted by this shocking event.

The Academic Coordination Committee has recommended that we make temporary modifications to our academic procedures to support students during this period of added emotional need, and I ask that you uphold these changes as you work with your students. The specific changes are:

  *   The Withdrawal Deadline<https://click.comms.arizona.edu/?qs=4fe360b1db6f8ab3e0cfebd1309caf73b2ec04d96b3cbc1c442f7a3790dc8ef5f6d63404df2c5f1a59422667f6a943045ce482196da10b74> for individual courses for the regular session fall semester is extended to Dec. 7, the last day of classes for both undergraduate and graduate students.

  *   The ‘W’ Grade Unit Maximum<https://click.comms.arizona.edu/?qs=4fe360b1db6f8ab3d3e3b52d2082bb421da317eeeba64d421cdccab0d8537cab6cb1b157764371565def26dc463a69836eafe873eeb209cb> (18 units) policy for undergraduate students is suspended for fall 2022.
     *   Grades of W taken in fall 2022 will be excluded from the 18-unit limit for undergraduate students.
     *   Students who already have reached the 18-unit limit from other terms will be able to withdraw from individual classes until the applicable deadline.

Please remember that individual instructors also have the option to modify course policies to extend flexibility to students who are struggling. Examples include relaxing deadlines without penalty for assignments; reminding students that the attendance policy allows for some absences without penalty; and/or making course materials available to students who are not comfortable returning to in-person classes.

I urge you to use your understanding of your students to select strategies that will support them in their learning during this time, and even more importantly, reinforce the need for them to seek community and connection with family and friends.
