Dear Colleagues,

[First, a note on the Internship Council listserv (aka SENG-Internship at email.arizona.edu) - it’s been down since last week. UITS is looking into it and as soon as it is back up, we’ll return to using that for ease of communication. This information is time sensitive for some summer internships so I wanted to get it out to you before waiting any longer.]

RE: University-level credit-bearing experiential learning pandemic guidance and protocols. After discussion with the Provost’s Office and UA’s General Counsel, there have been some updates made to the following documents in response to changes to the CDC guidelines and the realities that some Host Institutions are unable to sign off on the Assessment form and instead provide their own mitigation guidelines. The Registrar’s Faculty and Staff Forms page<https://registrar.arizona.edu/faculty-staff-resources/forms-help-guides/faculty-staff-forms> and Provost’s Experiential Learning page<https://provost.arizona.edu/content/experiential-learning-guidelines.> have the new documents uploaded. The Registrar’s office was able to maintain the same links (post-refresh of the Registrar’s site) to ease your burden of re-linking the forms since that action had been recently undertaken by many of us after the recent Registrar’s web refresh. (As a note, I had to clear my browser cache in order to see the updated forms.)

Details about the Updates

  *   Re: Guidance for departments – Version 2 has added guidance to Level 1. This change was made in response to the fact that some Host Institutions are unable to sign off on the Assessment form yet are still providing their own mitigation guidelines that are similar in caution to the UA’s risk management protocols:
     *   Added guidance to Level 1: “If the Site Supervisor/Representative of the Host Institution is not able to sign the Assessment form but they provide their mitigation guidelines, it is up to the department to assess and determine if the internship shall be approved or not based on the information provided. If it is approved, the student is still required to sign the Assessment form. It is important to annotate on the form that the Host Institution has provided the mitigation guidelines and attached them to the form for department records.”
  *   Re: Assessment – Version 2 has updated expectations for #3 and #9. This change was made in response to changes to the CDC guidelines.
     *   Updated #3: The Student will be supported and expected to not attend gatherings of more than allowed by CDC Guidelines and/or local authorities.
        *   Version 1 read: The Student will be supported and expected to not attend gatherings of more than 10 people.
     *   Updated #9: If the Student feels ill or displays any COVID-19 symptoms, they will be supported and expected to stay home, suspend all on-site activities and continue to self-monitor for COVID-19 symptoms by following CDC guidelines.
        *   Version 1 read: If the Student feels ill or displays any COVID-19 symptoms, they will be supported and expected to stay home, suspend all on-site activities and continue to self-monitor for COVID-19 symptoms for at least 14 days.
