[Agvisors] FW: Change of Schedule/Late Change Petition now online!

Greetings Agvisors:

Below is the new online change of schedule and late change petition process for schedule changes past the deadline of 4/14/20.  Requests are still based on an extenuating circumstance as to why they would like to withdraw partially or add units this term, but given the circumstance we are in it's my understanding colleges across the UA will be more flexible this term including CALS.  We should encourage students to consider Pass/Fail or Incomplete grade if it's an option for them prior to submitting a course withdrawal request. I'll be checking case details in Trellis to see if student had a conversation with advisor prior to proceeding with the college approval. This is to assure students have been provided with options. If not CAS advising team will reach out to student.

Please note that students do not need to go through the new process below for the change to Pass/Fail grading option this Spring term. That has it's own step via their own UAccess Student Center.  Information sheet for students is on Box<https://arizona.box.com/s/wnsfbiwyu81ai1ofqller8ld2x3r6x4d> for your reference and use with students. The deadline to change to P/F or vice versa is 5/6/20 - last day of classes.

Good morning,

The Office of the Registrar is excited to share that the Change of Schedule/Late Change Petition process has moved online!  The effort is a shared initiative between our Office, representatives from UAAC, and the Trellis CRM team.   It has been amazing to have this project happen so quickly in response to the need to support students in new ways during this time.   I appreciate all of the amazing work from the team, the feedback from across campus for next phases in improvement, and all of your flexibility and support in transitioning to this new way of working.

Here is an example of what the student will see (please note there will be additional descriptive words in the coming days to help clarify the process);

The student is asked to select a reason;

If the reason for request is not Medical, students will have the option to upload supporting third-party documentation;

In the first phase of the project, students will need to enter their class information manually; the next phase will have direct integration with a student's class schedule.   A direct link to their schedule in UAccess Student is provided;

They will receive confirmation of the information.

The completion of this process will send an email to the instructor requesting support of the request.  Here is an example of the email.

Since we are in the late petition period of the term, after the instructor responds, the request is sent to the appropriate college or academic unit for review/approval.  After the college or academic unit approves, it will route to the Office of the Registrar for processing.  Students will be able to view their submitted requests along with a status online.

This form is the first in a series of efforts to move traditional paper processes online to improve administrative procedures and the student experience.
