Subject: [UPAC] POLICY FOR ACADEMIC PROGRAM/PLAN CHANGES AND THE PROCESSING OF PROGRAM FEES

Hi Everyone:

The institution has not published a business process guide to manage the charging and refunding of program fees and differential tuition. Inconsistent practices can create issues for students who change their major during the semester. Effective immediately the following business process will be followed to ensure consistent practices are followed for charging and refunding program fees/differential tuition.

Business Process Guide for Charging and Refunding Program Fees/Differential Tuition.
To ensure consistency of business practices related to program fee processing, all departments and academic programs shall adhere to the following:

1) The official refund deadline for the term is the deadline for departments to collect or refund program fees.

2) Any program changes performed prior to the refund deadline should be dated the first day of classes for the term.

3) Any major changes performed after the refund deadline should utilize the current effective date, rather than the first day of classes, to ensure that billing does not change.

4) No program fees should be charged or refunded after the refund deadline.

5) Departments are responsible for monitoring these activities to ensure these procedures are followed.
Feel free to contact me if you have any questions.

Best,
Pam
