[Agvisors] Agvisor Meeting Follow Up Information

Greetings Agvisors:
Thanks for the great meeting yesterday. Since we ran out of time, I have
summarized the agenda items we did not cover on this email. It's a long
email with important information. Keep me posted if you have any questions.
Degrees and Commencement:
o If students have a checkout term they are blocked from future
registration. Please remind students that if they would like to participate
in commencement in an earlier term than when they will actually be
completing their degree, they can do so but must notify Ms. Julie Adkins
(Graduation Services advisor) at the time they apply for their degree
candidacy application.
o October 28th is the published deadline to have a student's name on the
Dec. 2011 commencement booklet. Ms. Julie Adkins is willing to make an
exception until Tuesday Nov. 1st (internal deadline).
Math:
o If your majors require Math 115a and/or 115b please follow up with Dr.
Elaine Marchello at evm at email.arizona.edu.
o Math 100AX is a remedial course offered through the UA but students do
not earn graduation units for the course. The final exam for this class is
retaking the ALEKS (Math placement exam). Student can test into an advanced
level or at another remedial level which is Math 100B. Math 100B is a 2
unit class in which the units do apply towards graduation.
Spring 2012 Orientation
o Pre-schedules for Spring 2012 will be the same as they were this summer.
If you have a different 'ideal' schedule you would like new Freshman to have
please send me the list of courses to nancyr at ag.arizona.edu. Looking ahead:
for Summer 2012 pre-schedules the pre-schedules will be based on degree
tracker information.
o Second Language testing is now on-line via the Next Steps Center
Academic Tour (languages offered: French, German, Latin, Spanish and
Russian).
o This Spring 2012 session will model the one day session as it will be
for Summer 2012 - same schedule time frame will be used. I will provide you
with a copy at the November Agvisor Meeting. For your reference in regards
to the how much students pay for orientation - Orientation Student fee: $330
enrollment deposit (out of state orientation students will pay an additional
$125); Parent fee: $210.
o Academic Tour has been live since Oct. 12, 2011. All students must
complete the tour to be matriculated (this is what will also give them an
enrollment appointment).
o All Spring 2012 Readmits and New Transfer students (non-STU 210) will be
matriculated and have access to their shopping cart on Nov. 9th. They will
be eligible to register starting Nov. 16th.
o STU 210 - Students should have met with advisors by October 11. It is
likely some will still visit with you for the transfer orientation after
this date. They will be coded in the system as a regular transfer student if
they missed the priority registration deadline based on their class status
(keep in mind it is based on completed units already in UAccess). The late
comers from the STU 210 group would be eligible to register on Nov. 16th.
o After students meet with the advisor for the 1-on-1 Orientation, send an
email or copy of the advising verification form to Forbes 211 (Nancy or
Kyle) so the advising hold can be removed. Fax is 621-8662 * email
nancyr at ag.arizona.edu or ksharp at email.arizona.edu Students still have to
complete the Academic Tour through the Next Steps Center
Financial Aid Satisfactory Appeal Process form: Advisors that fill out the
student form at the department level, please note that you must indicate a
beginning date of contract and end date of contract. In OAP (Forbes 211) we
have the students sign the academic contract so feel free to ask Kyle or
myself for the contract information or you can default to having the
contract date start at the beginning of the active term and have the end
date be the last day of final exams of that same active term. You can also
refer the students to Forbes 211.
CLEP exam - (UA Code 4832): The CLEP exam is a nationwide exam that can be
taken anywhere. If students would like the units to apply at the UA they
must have their test scores officially sent to the UA. This can be
requested when the student signs up for the exam. If they request this after
the exam the students have to go through the College Board website to
request the scores and pay an additional fee.
Late Change Petition: Attached is the Late Change Petition used for any
schedule change at this point in the semester (i.e. partial withdrawals) for
Fall 2011. Note that the petition includes a section that must be filled out
by the instructor in conjunction with the change of schedule form. Hard
copies of this petition are kept in Forbes 211. Once a student submits a
completed Late Change Petition to Forbes 211 there is a 24 hour turnaround
time for a decision. It is the student's responsibility to follow up on the
decision and proceed with the process. If the petition is approved the
student must hand deliver the change of schedule form to the Administration
Building Room 210. This petition is for CALS students only. Other colleges
may or may not have a petition process.
Minor Degree Tracker Template (guest speaker follow up):
Attached is the degree tracker minor template Ms. Heather Jepsen provided
you with at the meeting. If your department offers a minor, please fill out
the template and send it to her at <mailto:jepsenh at email.arizona.edu>
jepsenh at email.arizona.edu This request also applies to the departments that
were not represented at the meeting.
