Dear Advisors,

 

Advisor Notes functionality in UAccess has been further enhanced.  At the
request of the advising community, note creators now have the ability to add
attachments to notes.  Any form of attachment may be added when a note is
initially created.  You will notice you have the option to select 'Never
Purge.'  This checkbox should only be checked when an attachment should
remain with a note forever and all time.  Attachments may eventually be
purged from the system if the university runs into storage limitations. In
the event this becomes an issue, the advising community will be asked to
help develop a purge policy but rest assured that nothing would be purged
for students who are active at the time and a clear audit record would be
kept if this becomes a necessity.

 

To keep with the secure nature and integrity of Advisor Notes, attachments
may only be added, removed, or changed from a note before the note is first
saved.  After the note has been saved, no additional attachments may be
added, no attachments already added may be removed, and the 'Never Purge'
option may not be changed from its saved status.  Notes may still have
addendums created, but attachments will not have the ability to be altered.
Also, please be aware that by adding an attachment, this information becomes
part of the student's record and therefore only items that would be
appropriate to be viewed by the student themselves upon request should be
attached.

 

An additional new feature you may notice is the 'Add' button at the bottom
of the Advisor Notes page.  When clicked, this button will take you back to
the 'Add a New Value' tab for Advisor Notes.  If you have information on the
advisor note that you have not saved, you will receive a warning message
prior to being routed to the new page.
