Good morning All,

I am happy to announce a new Financial Reporting tool that is available to all of you for immediate use!  This tool was demonstrated in the last faculty/staff meeting and I know some of you are already using it, but I wanted to send out this email as a reminder the tool is active and live.  The business office will not be sending out monthly reports so please feel free to review your activity from the last month.  My fellow business managers have developed a few tutorials to help you navigate to and utilize these reports.

For those who may not have attended the last faculty/staff meeting here is a little background information. Over the past year, CALES Business Managers, ALVSCE Data Solutions Team, and UAIR have collaborated to develop a new reporting tool designed to provide more detailed and accessible financial information tailored to faculty needs.

This report was designed to address concerns regarding timely financial reporting due to business staffing shortages. It will provide current financial information, updated daily, via a summary of your accounts (and employees), as well as allow you to gather detailed information for all that you supervise.      *   (Note - if you have the Scribe browser tool installed, it will provide a "Guide Me" function that we recommend using if possible)

At the bottom of this email, I have created a Poll link to schedule time(s) for us to meet and review. Please select times that work for you after reviewing this information.

Why Was This created:


  *   To allow you to view your current financial account status on-demand, to facilitate monitoring and allow planning.
     *   Initial Summary Report for complete overview, with the ability to drill down into Detailed Account/Employee reports.
  *   Provide a starting point for communicating concerns with business officers.
  *   Monitor employee status, with details including Titles, Compensation rates, FTE, start/end dates, Visa status (if applicable), etc.
  *   Review Designated Campus Colleague (DCC) that you supervise (if applicable).

What's Changing:


  *   Starting November 2025, the new PI Monthly Reports will be available on-demand via UA Analytics, providing up-to-date actuals.

  *   You will receive monthly email reminders to review your report-please note that you will need VPN access to log into UA Analytics to view it when off campus.

What's NOT Changing:


  *   Account review and support from your business team: While we are proud of the progress we've made, we understand this tool is not all encompassing, and we are continuously improving and adding features where possible. Your business office will continue to monitor accounts, provide additional support where needed, and provide ad hoc reports when necessary.
  *   Meetings to review financial standing: We believe this tool will allow us the time spent manually transferring data to reports to be better served by hosting more regular financial meetings, improving communication and expanding shared understandings.
  *   Support for operational procedures and transactions: Inquires for operational expenses, personnel, travel, capital, and other items should still be directed to business staff to advise on account policies and general compliance.
  *   General communication and support: We encourage you to reach out at any time with any questions/concerns you may have. We are still here to support you and your projects.
