Hello,
Any material that is being delivered to a lab to undergo analysis, examination, or other research purposes. In the recent past items have been delivered that require refrigeration or have been damaged during delivery with liquid coming out of the packaging. These types of situations should be handled by trained personnel to ensure not just the safety of all employees but to also ensure the integrity of the sample. The office staff has no training or knowledge regarding the handling these kinds of deliveries.
I feel that this is more of a retraining issue for the individuals that deliver the research samples or specimens. They have gotten used to delivering to the business office because it is quick and easy. They half-heartedly attempt to deliver lab samples to the labs, or don't even try at all. The reason I believe this to be the case, is that almost all the time when Angelyca calls to let the labs know about a delivery, there is someone in the lab and available.
For efficiency purposes, all deliveries should be going to the room and person that ordered them. I do understand that is not always possible due to various reasons and the business office will continue to receive packages not containing material related to lab research. I would ask that when notified a package has been delivered, the staff come to get the items within a couple of days. We have had items sit in the office for up to 7 days.
I appreciate your question and hope that I have provided enough clarification. If not please let me know.
Sincerely,

Hi all,
One quick follow up question...what constitutes "Lab deliveries of specimens or samples for research purposes"?
Thanks,
Dave

Good morning everyone!
Hope everyone had a great long weekend. I'm going to jump right in!
1. Account Reports: Gabby and I are working on reconciling the account reports. You should all have them in your email in box on the morning of Monday the 11th. This will give me the weekend to finish up any that are not completed by Friday.
2. Account Review Meetings: If you haven't already done so, please email to set up a time to meet to review your accounts. These meeting are important for myself and Gabby to get a better understanding of your accounts and any nuances they may have that we aren't aware of. It is our responsibility as your finance and administrative partners to make sure your accounts are in order and you spending plans followed.
3. *IMPORTANT*- The business office will no longer accept Lab deliveries of specimens or samples for research purposes. Please ensure a person is available at the lab to receive these deliveries. All deliveries will be redirected to the lab related to the delivery.
4. Key request change: Please continue to send your key requests to SPLS-BIZOFFICE email for Angelyca to initiate a key request. Angelyca will send the information to the requester on how to make an appointment with the key desk and where to go to pick them up. Angelyca will no longer be picking up the keys.
5. Staff Mailboxes: We are cleaning out the copy room and removing the staff mailboxes as they are hardly ever checked and 97% of mail received at the business office are magazines or "junk mail". Incoming mail will be held for one week and if not picked up it will be destroyed unless other arrangements have been made for your incoming mail.
6. Water coolers: Paying for water for employee use is not allowable. If you have service by a water provider for your area, you will need to pay the invoices with a PCard and ensure that the UA Business purpose is one that makes the purchase allowable.
I hope you all have a wonderful Wednesday!
Sincerely,
