Hello Everyone!

I have been part of this amazing department for almost a month now and it's been an incredible experience.  With the help of everyone, I have made some great strides towards achieving the current critical goals for the business office.   We are keeping up with most everything, being short an accountant is making it a challenge.  Interviews are being conducted to fill the position vacated when Richard left.  I hope to have a great addition to the team by the middle to the end of August.

Lizzy and I are working diligently on sending out your account reports.  I will be changing the format of future reports to improve the way the account information is presented.  I want to create an efficient report that will provide an easy-to-read summary of account balances while continuing the use of the individual account tabs to provide details on those balances.  I welcome any suggestions on what you as the end user would like to see or be included I the reports.

TAX EXEMPT PURCHASES FOR RESEARCH EQUIPMENT OR CHEMICALS AND RELATED TAX EXEMPTION CERTIFICATES

The University is exempt from paying sales tax on certain purchases.  This is information relates to the two most common tax-exempt purchases that I see in our unit.
*Purchases of equipment used solely research
*Purchases of certain regulated chemicals used in research

The way these purchases are designated as tax exempt is by the object code used when making the purchase.  ARS verbiage is required on these transactions.  I have attached a PDF with all the information, definition, and details.  The business office uses this information when processing financial transactions such as requisitions/Pos.  However, when ordering through byways, it is important to use the correct object codes when making these tax-exempt purchases as we are unable to correct this after the fact.

Sometimes vendors will request the UA Tax Exempt Certificate when we designate a purchase as tax exempt.  I have attached the forms for equipment and chemical purchases, respectively.  Everything on the form has been prefilled by FSO Tax Compliance except 2 sections.  I have highlighted those sections in yellow.  These aren't always requested by the vendor, but I have seen it become more and more common.  The business office staff cannot complete these forms due to the certification statement associated with the signature.
