Letter from Dr. Espy regarding changes to SPS process


Dear Researchers:

As we approach 2016, the Office for Research & Discovery is making some process changes that will give researchers the ability to track their proposals throughout the approval process. The change will allow campus users to view the status of their proposals and see whether Sponsored Projects Services (SPS) has received access to review and submit.

The changes also will give us the ability to adjust staffing levels in order to meet demands during peak proposal volume, ensuring that we can successfully submit proposals. SPS is transitioning to this new process this month and will begin enforcement on February 8, 2016.

The process changes include:

  *   All proposals are submitted using UAccess Research and routed for review/approval by the Principal Investigators/Co-Investigators, Departments, Colleges, and SPS.

  *   Proposals must be submitted to SPS in final approved form 3 business days prior to the sponsor’s due date. (Final form means that the proposal is completely finished, including final approval in UAccess Research, and ready for submission to the sponsoring agency.)

  *   Proposals will be submitted to the sponsor in the order they are received by Sponsored Projects Services, fully approved and ready for submission.

  *   Only major proposal corrections will be re-routed for approval.

  *   Lead department administrative approval will be the first routing stop so these proposal owners can monitor routing progress and review proposal quality before others approve.

It’s also important to remember that researchers should initiate the process with their college’s research administration or business office much earlier than the 3 day deadline. The sooner your “team” is brought in, the better it will be to make sure your proposal is handled properly. It’s my hope that these changes will help us work together so that we can continue to grow the research enterprise and continue to be Arizona’s premier research university.
