We're excited to announce the launch of our new External Partners Portal! This self-service portal gives you direct access to manage your partner information—no more emailing spreadsheets back and forth. The Portal will allow users to streamline this process, improve data accuracy, and give you more control over your own data!
Logging In:
The Portal is tied to your UA Net ID login credentials! Simply use your University of Arizona username and password to access the portal.
Login Issues? If you have trouble accessing the portal, please contact me directly. It may be that your credentials need to be updated in the system (for example, if you have an old email format like name at ag.arizona.edu<mailto:name at ag.arizona.edu> instead of name at arizona.edu<mailto:name at arizona.edu>). If presented with the below screen, select "Yes" to be taken to the University's login screen:

Why This Matters:
The data you enter will be uploaded to our Partners Map each month<https://uagis.maps.arcgis.com/apps/webappviewer/index.html?id=824348904ebb434f8f4479ba7e1f096e>, ensuring our statewide partner network is current and accurate. Keeping this information up-to-date is critical for accurately representing Extension's reach and impact across the state - and makes it easy for our elected officials to see our footprint across the state.
What You Need to Do:
1. Access the portal: https://arizonace.quickbase.com/nav/app/bvsujbeni/action/appoverview
1. Log in using your UA Net ID credentials
2. Review your existing partners (if you have any already in the system)
3. Add any new partners you're working with
4. Update any outdated information using the edit (pencil) icon next to each record
What the Portal Looks Like:
* If you already have partners in the system, you'll see a dashboard like this:

Key Features:
* View all your partner records in one place
* Edit individual records by clicking the pencil icon
* Add new partners with the "Add Individual Partner" button
* See your total partner count at a glance
Need to Add Multiple Partners at Once?
For 5-15 partners:
Click the "Add Multiple Partners" button on your dashboard to add several records quickly without a spreadsheet.
For 20+ partners (Bulk Import):
If you already have partner data in a spreadsheet or need to add many partners at once:
1. Download the template: Use the attached Partners_Template.xlsx file
2. Fill in your data:
* Row 1 contains instructions for each field
* Row 2 shows the field names (keep this row)
* Row 3 is a sample entry (DELETE this before importing)
* Add your partner data starting in Row 4
3. Save your file with a descriptive name (e.g., "YourName_Partners_Feb2025.xlsx")
4. Import to Quickbase:
* Open the Partners table in the left side menu
* Click the three dots menu (⋮) in the upper right
* Select "Import from File"
* Upload your completed file
* Map your columns to the Quickbase fields (they should auto-match)
* Select "Add new records"
* Review and confirm the import

Partner Type Definitions:
When adding partners, please classify them using these categories (if in doubt, use your judgement):
* 4-H = 4-H clubs and affiliated youth organizations
* School = K-12 schools, districts, colleges, universities, and educational institutions
* Government = City, county, state, federal, and tribal government agencies
* Community = Non-profits, libraries, community groups, and faith-based organizations
* Private Company = For-profit businesses and commercial enterprises
Monthly Data Pull Schedule:
Data will be pulled for the Partners Map the last Friday of each month. You'll receive a reminder one week before each data pull so you can update your information as needed, and if needed.
