Subject: [Faculty] Timeline Guidance for Proposals Due November and Winter Closure 2025-2026
Dear Colleagues,
Please see important message below from our ALVSCE Pre-Award Team, so that you can plan appropriately for upcoming grant or contract submissions.
As we prepare for the holidays and happy vacation time, we would like to note that with SPS timelines and University Closures dates we will have modified deadlines for any proposals/sponsored projects due anytime between December 22nd 2025 - January 5th 2026 with a very hard deadline of Dec 13th.
Historically the University Closure has caused pain, especially for industry partners that want a contract finalized before the end of the year. Additionally, this year with the University Closure includes Jan 2nd so we know that the full university will not be back to processing until the 5th. We want to help all faculty meet the required deadlines for their proposals
Here are some key dates to keep in mind for any proposals due between now and January 5th 2026:
* December 8th: Last date to notify of a project before the break without a signed late proposal form
* December 9th - 12th: All notifications that would require a late proposal form from the Dept.
* December 13th: No more proposals will be accepted. Anything sent to the team after the 13th would not be processed before Jan 5th.
To see the current ALVSCE Proposal Timeline and late Proposal Policy please click here<https://research.cales.arizona.edu/sites/rgw.cals.arizona.edu/files/ALVSCE%20Submission%20timeline%20%20Late%20Proposal%20Policy%20-%20July%2024.pdf>.
The Pre-Award Team will not be checking emails during the University Winter Closure (Dec 24, 2025-Jan 2, 2026). If you have an emergency during this time please reach out to ALVSCE Interim Associate Dean for Research, Dr. Jon Chorover at chorover at arizona.edu<mailto:chorover at arizona.edu>
Thanks,
ALVSCE Pre-Award Team
