Dear Department Heads, Chairs and Directors,



I am sending a brief reminder on how to record declines in the selection process of external reviewers for promotion or if a decline is received after sending the formal solicitation for an evaluation. We provide additional guidance this year because we realize that due to the unusual circumstances of COVID19 there may be more declinations than usual. We feel it would be helpful to note if declines are COVID19 related.



The worksheets in Section 10 of the dossier template are provided to indicate the reason for a decline from an external reviewer. While all the typical reasons should still be indicated, we also encourage you to designate if the reason is due to increased workload because of COVID-19 or other pandemic-related reasons. This can be typed in the designated space using either template worksheets (see below). An abbreviation of the above reason can be typed as, "inc. wk pandemic" or "inc. wkld COVID-19" in the worksheet area.
