[Agvisors] Update on The PAW (Fall 2025 season)

Hi everyone,
Thanks for looping me and Rachel in.

For starters, the enrollment management link provided below is only to be used by Rachel for communication requests. If your team would like a one-off request, please work with Rachel to strategize what that communication would look like. For a communication to be approved, it would need to provide additional information that is unique to your academic unit and program (not just general orientation information<https://docs.google.com/document/d/1pAWPR4j7-givg88gqA4IgDvAwmduN0_5cRampxdsvLE/edit?tab=t.0>). At this time, they are not approving any additional communication unless we can show that is absolutely necessary and beyond the scope of general orientation communications. In the past, we would send out more emails on behalf of the college, but as they were duplicative of the university's communications, they have been cut this year. As such, we are not sending out any addition CALES emails prior to orientation.

Below is information on the Pre-Academic Worksheet (PAW) for this orientation season. The PAW information will now be available in students Trellis record, if they fill it out. We ask that you please do not request the same information from students in other communications prior to their NSO orientation session. Refer to additional information on student communications prior to NSO sessions below.   If you were planning to send separate communications let’s connect to know what information this may be and come up with a plan that is in alignment with the communication plans. This is also to have uniformity as a college and prevent duplication of efforts.

Below is information copied and pasted from Communications section of the “2025 Virtual Orientation Experience Handbook<https://docs.google.com/document/d/1aICXwE9YUbJdSqFXlS9Bf6W9Qyci-hwmKgtfP9djNzs/edit?tab=t.0>” that NSO team shared with academic and campus partners.

Communications

All incoming student communications will continue to be funneled through the Orientation & New Student Services team via Slate. Any student signed up for an Academic Connection Date will begin receiving a formalized communication plan five weeks before their scheduled session. This communication plan includes a full suite of emails, SMS messages and phone calls to reach students and share appropriate information. The only communications that should be sent outside of Slate are those created and sent through Trellis. Trellis immediately sends a confirmation email to students once they have been loaded into a scheduled appointment or event. Additionally, Trellis sends a 24-hour reminder to students before their scheduled program. If an Academic Unit is building an event through Trellis, they have more ability to customize the message for the participants versus the standard appointment emails.

If an Academic Unit would like to send additional communications to incoming students, they should only do so through Slate. Academic Units (and other Campus Partners) may request communications to be built, scheduled and sent through the Slate system. Campus Partners may request an email and/or phone/SMS campaign via the Enrollment Management website<https://enrollmentmanagement.arizona.edu/support/communication-requests/emails> and clicking the “Make A Request” box.  The streamlined process of only having communications in Slate and Trellis allows our team to review the communications that have been sent to each student, avoid confusion, and ensure that they are receiving the proper information about their Academic Connection Date and their Virtual Orientation Experience.

Hi, everyone --

We have exciting news about the Pre-Academic Worksheet (PAW)! Starting this orientation season, PAW responses will be attached to each student’s profile in Trellis. This means that any advisor can easily check if a student has submitted the PAW and view their responses directly in the Trellis system.

Here’s how you’ll be able to access the information in Trellis:

  *   Navigate to the student’s profile, click Related, then check the entries under Cases
  *   If the PAW has been submitted, you’ll be able to click an entry labeled PAW – Submitted [Date]
  *   To see the content of the PAW submission, make sure the box on the right has Conversation selected, then scroll down and click the message to expand the content
     *   Note: The format will look pretty plain, as Qualtrics will only be sending basic text, but all of the information will be there! 😊

This update ensures that even if a student changes their major after submitting the PAW, their form submission will stay accessible to all advisors.

The PAW will go “live” in the Next Steps Center on Friday, May 23, and will remain available for incoming FY students after that date.

Additionally, if your college/department would like to continue receiving PAW submissions via email (as we’ve done in previous years), just let me know and I can set that up. If you go this route, your specified email address(es) will be CC-ed on PAW responses, but the info will still be sent to Trellis as well.
