Hello Agvisors,
Please check the Academic Eligibility (AE) Spring 2025 student contact tracking sheets<https://arizona.box.com/s/yawdsxufzuqvcult6h4uwblr7vhj0wqm> for highlighted names for both Main campus and Online campus, Review, Warning, & Probation, as they are newly added students that were not on the original student list reports from Analytics run on Jan. 3 but they are reflected as enrolled as of Jan. 24 with a CALES major. Between Review (22), Warning (4), & Probation students (18) there were 44 students added.
The initial outreach to your assigned students highlighted is appreciated. After you send them your outreach you may remove the yellow highlight to their row, it was added to help identify the student at a glance.
Why weren't they on the Jan. 3 Analytics report that received CALES initial outreach?
After reviewing each of the new UAccess Analytics AE Outreach Lists run on Jan. 24, these students were either not enrolled when the original lists were created, or they have recently been readmitted to CALES or they have changed to a CALES major, and/or they received continued probation status as their AE Appeals were approved.
Thank you to those that have been able to add their students to the respective AE tracking sheets as you have come across the new additions and/or met with your students. Please continue adding students that you meet with or with change of majors into CALES that hold one of the 3 AE statuses, Review, Warning, and Probation.
Re: the required self-assessment for AE W & Pr status students:
Please encourage your W & Pr students to complete the required self-assessment; Review status students are not asked to complete the self-assessment. Jan. 31 is the provided deadline for students to respond to the self-assessment, and late responses are accepted. Per Ludwig, data supports providing students with a timeline as it has been shown to be effective in soliciting responses in other surveys.
W & Pr students were sent CALES outreach with supportive messaging earlier this month with an alert to their AE status and including the link to the self-assessment, this outreach is visible in Trellis comms under each student's record, they were also informed by Registrar in a separate email notice and that message is not visible in Trellis comms, but in UAccess 3Cs communications. However, the verbiage of the Registrar message is not provided there, simply that it was sent and the date. The navigation to provide students to access the self-assessment from Student Center if they can't find the link in the two emails they may have received- we are provided directly from Jennifer Ludwig the navigation steps: "the link in the Forms section of Modern Student Center."
Advisors' access to the student responses from the self-assessment:
As of Jan. 24 there were 11 CALES student responses to the self-assessment, out of roughly 250 CALES possible W (179) & Pr (75) students combined.

That is where advisors can see the campus resource students have been assigned to in the column "What Support Would be Helpful".
See the Dec. 4 shared PDF Fall 2024 AE Guide attached to this email for easy reference. See pages 4 & 5 for the relevant information regarding interventions and the self-assessment.
The student's Trellis "opportunities" space may be updated in the future to reflect their assigned interventions, and if the resource uses the available Trellis outreach mechanisms and Trellis opportunities groups. Ludwig and team cannot confirm the timeline to seeing these in Trellis since it remains a manual process per Ludwig, meaning, checking UAccess Analytics with the above linked report is the most reliable, and is updated each overnight during the batching process with their responses to the self-assessment.
Please share with me any questions that come up and for concerns regarding the added students highlighted in the sheets as I may have made an entry error along the way when manually adding the 44 students to the sheets. We will also have time in the upcoming Agvisors meeting to go over this info and questions too on Jan. 28. Thanks everyone for your help with maintaining the student contact tracking sheets as you meet with your students and if you notice any errors.
