Greetings Team,

Hope you are doing well. Below are responses to your inquiries. UA Registrar Alex Underwood’s responses are in red. Follow up comments from me are in blue. As a reference, the Registrar FAQ site continues to be updated: Spring 2020 Revised Policies<https://registrar.arizona.edu/coronavirus-covid-19-information>

  1. How will P grades impact honors college requirements? Is there a specific honors college requirement you have a question on? **below I copied and pasted content from the email Karen Weaver posted to UPAC on 3/24/20 (full email is at the end of email thread for your reference)

P/F Options (from Honors College)
Students are free to elect Pass/Fail grading on any Honors Course this semester - including Honors Thesis, Freshman Seminars, and courses with approved Honors Contracts. It is possible that these P/F courses won't automatically be recognized as Honors Credit by the ADVIP. We'll do our best to clean this up on our end, but, down the line, if you notice any coursework that needs to be adjusted, please let us know.

2. Will academic distinction qualifications be impacted with P grades? Waiting to hear about graduation academic distinction – for traditional academic distinction will not count

3. Will there be a possible cap on swaps from P to regular grade requests for the same course? (Hope multiple swaps won’t happen for same course, but could) No – it is fluid until the deadline

4. Will a weekly report be sent to instructors and advisors comparable to how we get the withdrawal reports? This would be helpful since students do t have to obtain consent from anyone to submit the P/F grade change. Advisors intention is to reach out to students to assure they made an informed decision. We can – adding Felipe to see if we can create either an easy query or report for colleges

5. For this term only could the GRO 60 unit limit be waived so students have opportunity to retake SP20 courses within the next academic year? I’ve gotten a few questions on GRO from other UAAC members – will discuss further **as the policy revision stands today the 60 units are enforced.

6. The highlighted below seems contradictory in comparison to the FAQ site-(which is great, thank you!). What’s the rationale on having added that sentence if all P/F courses from Spring 2020 are to satisfy degree requirements? If not all UA degrees will acknowledge the P/F graded courses from this term, will we have access to a list on degrees/majors that fall under this category. This will help when advising students. (has been updated on FAQ site - Pass/Fail – we are unsure how this extra line got into the message as it was not part of the Provost’s original approved message or intent) **as of 3/24/20 the line was removed on student announcement posted online<http://view.comms.arizona.edu/?qs=b8a2db9bd2579cdec7428820353c3406672b30e2eb8d5b7be9286ab39db50bbb8b505e4d49c52714281d39f2ac86ebf91788056335d7941af3a91d2b232327d025d511d7c953446e>.

7. Are the extended deadlines for the 7w2 sessions the deadlines that were already communicated prior to this email coming out or will those dates be revised? Also, the last “note” of this section seems a bit contradictory to the first paragraph. I think I am concerned that the language “full-term class” in the first paragraph and then “individual class withdrawal” in the last piece could be confusing to the student. (inquiry from online campus advisor) Course withdrawal deadline – we updated the deadline to be a week later for shorter sessions that started in the second half of the term. I am unsure how to update the individual class withdrawal as this is what it is. **deadline was extended to a week later. Hope this helps clarify.

I. Pass/Fail Grading
During the Spring 2020 term only, and at the discretion of the individual student, any course may be graded on a pass/fail basis, and these courses will count towards program requirements and satisfy future prerequisite requirements if a passing grade is earned. A student wishing to move to the pass/fail grading option must notify the registrar by the last day of class for Spring 2020. Please keep in mind that some courses taken on a pass/fail basis are constrained from being used to meet certain major requirements. (**This line has been removed as of 3/24/20)

II. Course Withdrawal
The last date for a student-initiated withdrawal from a full-term class in the current term will be moved to April 14, 2020, and the units associated with withdrawn courses will NOT count towards the 18-unit lifetime maximum allowed for undergraduate students.

For non-full-term sessions, the registrar will provide similar dates. The deadline for complete withdrawal will remain the last day of class.

Note: The new deadline for individual class withdrawal occurs after you have been allowed to experience the new online modality for a few weeks. The deadline for course drops and refund period remain the same.

 Best,

Nancy

Revised Academic Grading and Eligibility Policies

Dear Arizona Students,

While I will always encourage you to complete all of your courses, there are extreme disruptions that have occurred due to the COVID-19 pandemic that may have such significant impacts on some of you that we have developed a suite of one-time additional options. The material below is complex, due to the nature of how these options can be met. Please read through; we stand ready to help.

The logistics associated with this guidance are being worked out in real time. We appreciate your patience as we work to implement these policy changes. An FAQ is now available on the Office of the Registrar website<http://click.comms.arizona.edu/?qs=14d32a586635afdb4dbb945f85f7678419d80a3a94570a2640c755a3ad95ec18845896bfdb1dde6a2c7634202f1e644755b7746cfb39aa7f>, and the most up-to-date details will be provided there. We encourage you to consult with your academic adviser as you consider any of the options described in this memo.

Given the extreme disruptions that have occurred due to the COVID-19 pandemic, the following policies will be implemented on an emergency basis during the Spring 2020 term. The entire University of Arizona community is committed to your success and hope that these additional options and accommodations will help you focus on completing your courses while managing through all of the stressors this pandemic may have caused.

This temporary policy was created to help keep you on track toward graduation. We are striving to maximize the credits you earn during the Spring 2020 term while at the same time ensuring the quality of instruction and your learning, subject to the constraints imposed by the pandemic.

We believe that many of you will be able to adjust, and we hope that you and your instructors will work to complete your courses using the remote modality using the typical assignments and assessments (albeit in an online format) and on the spring semester timeline.

However, where adjustment is not possible, we provide the following guidance and assistance in this regard. Instructors and students will be given, on a one-time basis, the following additional options related to grading during the Spring 2020 term.

III. Grade Replacement Opportunity and Repeating a Course
In a future term, you may repeat any course taken during the Spring 2020 term without having this subsequent attempt count towards grade replacement opportunity (GRO) or repeat option limits.

Current University of Arizona policies stipulate that students may attempt a course no more than twice. For the purpose of grade replacement opportunity (GRO), a student may only attempt to repeat a total of 3 courses, not to exceed 10 units, and only those students who have earned fewer than 60 units may utilize the grade replacement opportunity.

Note: This policy change will not undo any previously utilized course repeat or grade replacement attempts, nor will it allow any student who is no longer eligible for grade replacement to become eligible.

IV. Undergraduate Academic Eligibility
Academic eligibility is the ability to enroll in courses at the University of Arizona; it is automatically calculated at the end of each fall and spring semester. The five undergraduate academic statuses are: eligible, academic review, academic warning, academic probation, ineligible.

The academic eligibility status of an undergraduate student at the end of the Spring 2020 term will be determined by the student’s most recent status, unless a student earns a cumulative 2.0 GPA or greater, in which case their status will become “eligible.” This will allow students to move out of the bottom four statuses if they had a “good” Spring 2020 semester or remain in their current status if the Spring 2020 semester is not helpful to their academic standing. That is, with this revised policy, a student could not move from warning to probation, nor from probation to ineligible statuses.

Please let us know how we can help you continue to be successful this semester.

Sincerely,

Liesl Folks, PhD, MBA

Subject: [UPAC] Honors Degree Audits and Senior Thesis

Dear Major Advisors with Graduating Honors Seniors,

I hope this message finds you all healthy and safe at home. Now that the dust has settled a bit, there are a number of issues that might need clarification in light of our current circumstance.

Degree Audit Worksheets

I've received many messages asking about how to handle the Honors signature on the Degree Audit Worksheet. Since we are all working from home and some students may not have scanners or other helpful technology, I'd like to make it as simple as possible for everyone involved.

Grad Services and I have decided to communicate directly about who is cleared to graduate with Honors in Spring and Summer 2020. I'll be sending GS a spreadsheet with a list of everyone who will be qualified to graduate with honors, assuming successful completing of the Spring 2020 semester (or Summer 2020 term, if necessary). I will also send you a list of your own Honors graduates, just to be sure no one has slipped through the cracks.

There is no need to send the students to me directly, unless they are facing a problem with their Honors Thesis and decided not to graduate with Honors or to postpone graduation to a future term. I have communicated this to my honors seniors and will continue to do so via email and our new Honors College Portal on D2L which should be up and running by early next week.

Honors Thesis Questions

In the past we have asked that the Honors Thesis be submitted electronically via D2L but asked students to hand deliver hard copies of the signed Thesis Title Page and Library Repository Release Form. In light of our current constraints, we will ask students to submit everything electronically through the Honors College Portal in D2L. The Due date for May graduates remains May 6, 2020.
Please have your students reach out to me directly if they don't think they will meet this deadline.

P/F Options

Students are free to elect Pass/Fail grading on any Honors Course this semester - including Honors Thesis, Freshman Seminars, and courses with approved Honors Contracts. It is possible that these P/F courses won't automatically be recognized as Honors Credit by the ADVIP. We'll do our best to clean this up on our end, but, down the line, if you notice any coursework that needs to be adjusted, please let us know.

As always, If you have any questions or concerns about Honors Seniors please reach out.

We'll get through this together,
Karen
