Subject: [uaac] Revised Academic Grading and Eligibility Policies, Summer class modality, & Summer/Fall Registration

Good afternoon Advisors,

I hope everyone is doing well. Thank you for your support and advocacy for our students during this unprecedented term. I appreciate all the feedback and questions you have been sending and want to send a few updates below.

Revised Academic Grading and Eligibility Policies

As I am sure you’ve seen from the Provost announcement<http://view.comms.arizona.edu/?qs=f0253fd660e8f2c13516802399f4a69017427f4c71d63d1958b5ae394079704af33da6de0510d365d162a10a6a38547bb92eeafe8415bc73a6d35686ca336427f96aa793876c9ac8200221af1d697009> on Friday there have been adjustments to our academic policies for this term to support students through this pandemic; we are continuously updating the FAQs as questions arise (keep them coming!)

The guidance to students has been amended today and updated on the website.<http://view.comms.arizona.edu/?qs=b8a2db9bd2579cdec7428820353c3406672b30e2eb8d5b7be9286ab39db50bbb8b505e4d49c52714281d39f2ac86ebf91788056335d7941af3a91d2b232327d025d511d7c953446e>

The website for updates for these revised academic grading policies is: https://www.registrar.arizona.edu/coronavirus-covid-19-information - we also updated the page with a larger-call out for students to connect with their academic advisor while they consider their options for this term. We expect to have the method for students to make the pass/fail request very soon and are working on implementing the other changes. If you have any questions, please contact me or reghelp at arizona.edu<mailto:reghelp at arizona.edu>

More FAQs were added for the revised Pass/Fail since it was published on Friday:

  1. How will Pass/Fail grades impact merit scholarships?
     * Pass/Fail grades do not calculate in GPA, but an earned Pass grade still counts toward the required number of units for scholarship renewal. Eligibility for continuing students will be evaluated as normal, based on cumulative University of Arizona grade point average and cumulative units completed by the end of the academic year. Please click here<https://financialaid.arizona.edu/types-of-aid/scholarships/current-students> to review terms and conditions for your specific scholarship(s).
  2. How will Grad Schools or other people looking at a transcript evaluate this Pass/Fail?
     * The University will add a transcript note to classes taken in Spring 2020 Pass/Fail about the extraordinary nature of this grading basis. Many institutions, including our AAU peers, are adjusting their grading policies for this term and providing similar notes.
  3. What percentage in a class is considered a Pass versus a Fail grade?
     * Instructors will continue to have discretion on how grades are assigned as outlined in their syllabus or otherwise communicated to students.
  4. Does the Pass/Fail exceptional grading basis apply to graduate students?
     * Yes. This policy is intended for all classes taken as regular grading, for all students, in all academic career levels, for all program requirements.
  5. Can a class that has ended (ie-7W1 section) be changed to Pass/Fail?
     * No. Courses that have already been graded will not be available to change to Pass/Fail.

For undergraduate students who have already met the 18-unit threshold, we are working with UITS to allow the Ws to be submitted online. We expect to have this done this week and will update the group when available.

Summer Classes – Remote Modality

Since last week’s announcement - that domestic campus Summer 2020 classes that begin before July 1, 2020 will not be held on campus - we have had several questions on how this will work. To enable the best possible learning experience and recognize this as different than the traditional fully online course, a new instructional modality has been created - Remote. This temporary instructional modality joins the existing modalities of In-Person, Hybrid, and Online.

A few notes on the Remote instructional modality:

  1. It is intended to be used for those classes that were previously scheduled to meet on campus in-person or hybrid modality.
     * It should not be used for courses that were planned to be offered online as iCourses.
  2. You can determine if there is a meeting pattern for the class.
     * This will allow synchronous meetings for students and faculty, if needed.

                                                               i. If there is a meeting pattern – students will not be able to enroll in courses that have synchronous meeting conflicts

ii. Similar to traditional meeting patterns – these times need to be created BEFORE enrollment begins – if you add a meeting pattern post student’s enrolling, you will need to manually confirm there are no conflicts for students or faculty members.

     * Synchronous meetings are not required for the remote modality.
  1. The contact minute calculations will not be applied to this modality.
     * Similar to hybrid and online, the classes meet the contact minute requirement through learning objectives and assignments as determined in the syllabus.
  2. The iCourse fee will not be charged to these classes
     * Classes that were previously scheduled as iCourses will not be transitioning to Remote modality.
  3. It will be available for Summer 2020 term classes that begin before July 1st
     * The modality will not be available for classes that start after July 1st unless there is an extension of the decision to continue remote instruction
  4. We will make this update en masse for you.
     * RCS and UITS are working on transitioning all In-Person and Hybrid classes scheduled at domestic campuses in Summer 2020 that begin prior to July 1st.

                                                               i. We hope to have this done tomorrow.

ii. We will keep the current meeting patterns for classes that are offered In-Person and Hybrid.

           * These can be adjusted through communication with RCS.
     * RCS has been in contact with your department schedulers offering an expedited way to make Summer 2020 changes.

                                                               i. We will continue to be flexible in getting the information to update your sections in a way that is quick and flexible for your schedulers and our team.

     * The change to this modality includes Independent Study courses that had previously been scheduled as In-Person or Hybrid.
