[Agvisors] Response Requested: Trellis-Rank priority items, update w/ images

Hi All,
I ask that this email be kept within AGvisors only, not to be distributed to other advisors/colleges at UA and any extended campuses. I am unsure how Beta 1 testers are sharing this info, and I don't want to disrupt any of the additional five Beta 1 testers with how they are distributing this info to their respective colleges.
The Trellis Advise Beta 1 test group has been running for 7-8 business days and things are bumpy, but good overall, and they are taking our feedback seriously and considering how to integrate our feedback into the Trellis Advise system. Our purpose is to find issues, bring them to the Beta group and work out a solution. The more issues I can recognize and bring to the Beta team, the better it will be when everyone starts to use it.
Today I attended a 30 minute meeting via Zoom, with the Trellis Advise wire frame building group, each Beta 1 tester was offered to attend as an option, 2 of us attended today. It was nice to see the student side of Trellis Advise, since we haven't seen that perspective yet. Attached is a PDF, I took screen shots of this meeting today for my own records and so that I may share the views with you all.
Today was to review the progress since their last meeting (we hadn't started Beta testing yet, and weren't invited yet) they reviewed the student view of Trellis Advise and how students cancel the appt and how it looks. They are working on drop-in advising for student viewing this "sprint". Each sprint is 2 weeks long.
The attachment shows what the student confirmation email looks like, they receive it immediately after scheduling an appointment, one of my students sent it to me, the other screen shots in the PDF are from the Zoom meeting.
I am open to questions, if you have any about what is in the PDF or anything else Trellis Advise related.
Beta 1 testers will meet on Friday 7/26 at noon to discuss our experience so far, and rank priority of the upcoming sprint's tasks.
Please send me your rank order so I can provide the feedback on Friday when we meet this Friday.
* Outlook 2 way calendar integration. Meaning, when a student schedules an appt your Outlook calendar is updated and when they cxl it is updated too.
* Proxy viewing of Trellis Advise, similar to Next Steps proxy view.
* Advisors receiving alert/email of appt creations by the student. If 2 way calendar integration isn't completed.
* Advisors receiving alert/email of appt cxls by the student. If 2 way calendar integration isn't completed.
* Ability to create a student record in Trellis Advise if a student walks into your office or center and wants to schedule an appointment and they are not a UA student. (Social media log-in might be a future functionality, but until then, would you want to have the ability to create a record in Trellis for the student so you could schedule their appt.)
* Default office location for the advisor: currently the office location is entered for each new appt or new advising availability, by the advisor.
* In the advisor view: default operating hours to schedule appointments or view drop-ins. Currently the entire day is scrollable 1AM to 11:59PM each day. Would you want to see 8A-7P? or another timeframe? Please send me what time you would prefer to be shown, again this is in the advisor view, not the student view.
* I'm looking at you Jacob too 🙂, for ONLN campus student usage for phone/zoom appts. You might have different operating times than main campus advisors.
What are your thoughts on:
* Ability to double book students for the same time/day appt.
* Do you have, or see a need in the future to schedule 2 students at the same time for the same advisor appt?
* At a "Preview" space of the appt details of a student appt, would you want to view the comments they entered for their reason for coming in?
* This is a required field, in addition to the "required" field the student selects for the "appt type", initially. The initial appt type of the appt is shown in the "preview".
* For example, I am the student, I will select "academic advising" as the appt type when I start to schedule the appt, then I must also enter specifics, like, "internship & enrollment assistance, etc." in the specific reasons (appt type) for meeting with the advisor.
* Would you want to view their self reported reason in a "preview" space of the appt or not?
* 72 hour delay for Trellis to update student populations.
* Example, I am admitted as a new student on Aug. 13, but I am not able to see your schedule until Aug. 16. When I log in to make an appt on Aug. 14 I can't see your schedule and don't understand why.
* What delay would be acceptable? 8 hours, 12 hours, 24 hrs, etc?
