[Agvisors] CRM-Salesforce follow-up

Hi Danielle,

I wasn't able to attend the meeting but I am glad that the University is moving forward with a scheduling tool because Wise Advising has serious limitations.

I am not sure if this is being considered but it would be nice if students could select a category and also write a comment with a little bit more detail on why they are requesting a meeting.

I also think this list of categories is very long and should be consolidated a bit. Students just start clicking when they are given too many options. I think any redundancy in the categories should be minimized or the categorization will be less meaningful for retroactive analysis of appointment types. It would also be nice if the student could select if they are a transfer student, pre-major, major, minor, or "not a major" as a separate drop down before they select the reason for their appointment. That would eliminate the need for categories for transfer student, pre-major, major/minor advising categories and would help minimize the number of categories on the appointment type list. For example, it would be nice to know if someone is a transfer student AND if they want help with their schedule or if they are exploring the major, etc. I see it as separating the student population from the appointment type and I think the two are sort of blended on the list below.


*       Hold on UAccess

*       Class Planning

*       Academic Eligibility/Agreement

*       Major Exploration

*       Declare Major/Minor

*       Internships/Research/Engagement/Study Abroad

*       Career and Professional Development

*       Graduation

*       Honors

*       Forms (List Form Title in Details)

*       Other (Provide Specifics in Details)


Recommend adding:

*       Scholarships and Financial Aid- Many students come to their advisor for ideas on where to look for discipline specific scholarships, navigating financial aid and on-campus offices etc. It seems like this category will be highly utilized.


Recommend removing from appointment reason list and replacing with a student population question so the student can identify whether they are a: pre-major, major, not a major, transfer student, minor

*       Transfer Advising- Can this be eliminated and moved into a student group question? (select transfer, pre-major, major, minor, not a major)

*       Major/Minor Advising- Does this need to be here? This list includes virtually every reason a major or minor would need to come in for advising with regard to their program, and then there is an "other" category to catch miscellaneous things.

*       Premajor Advising- Does this need to be here? Same comment as above for major/minor advising.


Recommend removing:

*       Advanced Standing-I don't think the vast majority of students will know what this means. Relatively few programs have an advanced standing requirement and it seems like these appointments would fall under "class planning" or could be described in "other"

*       Study Abroad- Could study abroad get added to the engagement category? Again, this list of categories is very long and study abroad fits within the student engagement theme.

*       Pre-Health/Pre-Law- I don't think this requires a separate category. If the student is scheduling with a pre-health or pre-law advisor, they are still going to have a reason for their visit that could be reflected in the appointment type. If the student is their major advisor, the major advisor will be doing career advising/professional development which has a spot on the list already.

Regarding the points brought up yesterday in our Agvisors meeting in regards to the CRM-Salesforce platform:

*       Confirmation that the time set for appointments will be noted that it is "Arizona time" and not Mountain Standard Time verbiage.

*       SalesForce and Outlook talking to each other is not likely.  Per Meredith Aronson "2-way integration is a holy grail of calendaring and not done well with any available tool  You would manage appointments in Outlook but anything with students would happen in Salesforce.  All appointments woudl be visible in Outlook but you would manage appointment/availability for students in Salesforce.  You would manage each type of interaction in the appropriate tool.  That really is the best we can do for MVP."

*       Per Meredith, regarding Student Center notices/to-do items into the platform:  "intent is to bring in service indicators (question might be whether we limit them to holds?)"
