Below is an update on the advising support platform. We will further discuss some of the details at the Agvisor retreat tomorrow Tuesday 12/11.

In reference to the retreat, we will also have working activities in relevant to the advising standards of practice, core competencies and values of the profession. We have a productive and engaging agenda in place. Look forward to a productive meeting with all present. This meeting will help wrap up the term and prepare for the new year ahead.

We will be starting right at 9am. Make it a great afternoon.

Best,
Nancy

Subject: [uaac] Supporting Academic Advising on the CRM Platform

UAAC Colleagues,

This year, we were successful in getting the Provost to support an advising tool for the university.

Since summer, we have been working to clarify the “minimum viable product” for this advising tool, with UITS and Eller collaborating to extend the Eller-specific functionality in eSMS to a university-wide context. At the same time planning was under way for initiative’s within the University’s strategic plan, including one for Enterprise constituent relationship management (CRM) to support the university in more holistically serving our students, alumni, industry partners, and others. The Enterprise CRM has emerged as a top priority for first wave funding, with efforts to support student outcomes and enhance our ability to support students across our organizational boundaries planned for the first phase of work. As the front-line in supporting students, Academic Advisors are a critical partner in this work.

In early summer, when the Provost funded expansion of eSMS, Enterprise CRM seemed like a long-term goal that could be years away. With funding pending, and immediate work planned to build toward a holistic student support solution, having Academic Advisors working in a separate system and having to learn one new tool (i.e. eSMS) and then needing to shift to the broader tool being built on CRM is not only sub-optimal for students, but also creates churn for the advising community.

A few weeks ago, the decision was made to pivot build out of the academic advising tool targeted for summer release to a CRM-based solution that will be based on the minimal viable product requirements defined by the Fab 6 (see members below) and UAAC, and informed by the advising community’s needs. Building the academic advising tool on CRM will allow advisors to more easily collaborate with other student support organizations, as well as take advantage of other features that will be delivered on a larger CRM roadmap. The UITS team members who had been partnering with the Eller team have started working and delivering a full-featured advising tool is the highest priority for 2019. While we will work aggressively, and with external consulting services helping, to deliver by summer – we’ve not yet done the detailed technical estimates to back-up a promise. Your trust is important, and we’ll do our absolute best to get you a quality solution in the shortest time.

Meredith Aronson will continue to lead and channel your needs, in partnership with the Fab 6, UAAC, and the whole community, and you will be actively in the loop as we move forward. She and I, together with ARC, will be hosting a Brown Bag on December 18 from 12-1 in Engineering Science Library 311 to be able to discuss the plan with the community. Please have your team RSVP<https://www.eventbrite.com/e/esmscrm-brown-bag-for-advising-community-tickets-53544240264>, so we’re sure to have sufficient room? For those who will not be able to attend, we will host another one in early January and be recording the session and share it through the ARC.

With Warm Regards,
Darcy
