Subject: [UPAC] Change to Incomplete Grade Management

Dear Undergraduate Academic Advisors:

As you may know, in previous semesters, Graduation Services would confirm whether or not an incomplete course was required to complete the degree requirements. If the course was not required, the degree was awarded with the incomplete grade on the record. This practice leads to a degree GPA which is different from the final cumulative GPA.

In an effort to align practice with policy and maintain accurate degree GPAs, effective Spring 2016, Graduation Services will not award a degree if any incomplete grades exist on the student’s record. Per the “Completion of Degree Requirements” policy (below), the student will have 30 calendar days following the last day of final exams to resolve the incomplete grade(s).
Options for students to resolve the incomplete:

1.       Take the grade earned in the course at the time of degree awarding.

2.       Extend their expected graduation date to the term the incomplete will be finished.

This change to our management of incomplete grades will begin with students expecting to graduate Spring 2016.

Completion of Degree Requirements
All degree requirements must be completed by the last day of final exams in the semester or term in which the degree is to be awarded. The applicant is also responsible for providing all documentation relating to the completion of his/her degree program to the Undergraduate Graduation Services Office within 30 calendar days following the last day of final exams in the semester or term in which the degree is to be awarded. Documentation may include, but not be limited to, official transcripts from other educational institutions/programs, actions resulting from University General Petitions, Change of Grade forms (including removals of "I" grades), etc. Failure to meet these responsibilities may result in a delay or non-awarding of the degree.
Degree candidates who find it necessary to leave The University of Arizona and complete final course requirements through correspondence or transfer work are required to notify their Graduation Services advisor<http://www.registrar.arizona.edu/graduation/advisors.htm> of such plans before leaving the University.
